Activities Record
editConsider including the following information:
- What did you do?
- We did 1 online training, 1 in-person edit-a-thon training and a panel discussion
- Who organised it all? Who was on your team (who did what?)?
- Kolobetsoo organised the online training and conducted it, the in-person edit-a-thon training and conducted it, identified the possible stakeholders for the panel discussion, made payments, liaised with the identified venues for the panel discussion, communicated with the panelist and ensured that everything was on track and also attended the media coverage requests. Ms Lito was responsible for finding sponsors for the panel discussion and setting up the draft for Climate in Botswana page. Mothusi Sekhomba resnponsible for identifying possible venue for the panel dicussion and taking quotations, responsible for media coverage and identifying the possible organisation as participants for the panel discussion . Shoodho was responsible for moderation
- Did any organisations or associations or groups partner with you to make it happen? If so, who are they?
- We did not find any partner, but we reached out to many organisations and individuals unfortunately no one came forth
- When did you hold events, where and how? How did you let people know about it?
- Online training session was on the 25th March 2023 , online through google meet, we advertised on facebook and in all our whatsapp groups.
- In-person edit-a-thon training was on the 8th April 2023 at University of Botswana, we advertised on facebook and in all our whatsapp groups
- Panel Discussion was on the 26th of April 2023 at the Big 5 Lodge, Mogoditshane, We advertised on facebook, Whatsapp group, Radio RB2, At Radio Gabs FM and Botswana Television
- Who attended your event/s? What did they do at the event? What did they think of the event you held?
- The online edit-a-thon training was attended by both new and retaining participants, it was a beautiful interactive session and most of them showed so much interest in article translation.
- The in-person edit-a-thon was attended by retaining editors only. This session was mostly affected by the fact that it was on a holiday.
- The panel discussion was attended by different organisations who are interested in the issues of climate, the researchers and the public. it was a beautiful interactive session. Some participants felt like enough was not being done when it come to addressing issues of climate change.

Goals and Outcomes
editDid you meet your goals? Are you happy with how the project went?
- No i did not meet all my goals but i am happy with how the project went.
Please use the table below to report on the outcomes achieved, starting with the original targets you shared in your proposal for the microgrant.
Proposed metrics | Anticipated outcome | Achieved outcome | Explanations |
---|---|---|---|
New participants | 10 | 1 | They just registered, created accounts but never contributed. We have 9 registered new editors but only 1 contributed |
Retaining Editors | 10 | 8 | The contribution was very low because the editors felt like the articles were too long and have very difficult scientific terms. |
Number of new and improved Articles | 100 | new Articles 42 improved 45 | The terminology in articles related to climate made it difficult for participants to translate as much articles s they wished. |
Number of events | 3
2 edit-a-thons and 1 panel discussion |
3 events done
1 online edit-a-thon training 1 in-person edit-a-thon and 1 panel discussion |
I have learnt a lot from organising all the events. |
Number of volunteers engaged in planning | 1 | 2 | Their involvement was of great help |
Learnings
editWhat did you learn? What are you proud of? What was challenging? From this experience, what would you do differently if you had to do it again?
- I have learnt that topics like climate are not widely discussed or given attention, so they need a lot of time in planning and advertising to get more people involved
- Most of the editors only edit during the edit-a-thon in-person event, next time we need more of them
- With so much terminology in the climate articles the Setswana keyboard or dictionary needs to be improved
- Its not easy to involve government departments because of their protocols they need at least a minimum of two months notification ahead of the event.
- Discussions around climates needs to be conducted more often for community sensitisation.
- There is need to engage in serious articles creation around climate topics in Botswanana because there is less information both in English and Setswana.
- Working as a team makes things easy.
- The spirit of volunteerism is slowly fading away, many people did not participate because this time around there was no price money to be won.
Finances
editHow did the initial proposed budget compare to the final costs of the project? Were there any unexpected costs or changes to your initial budget.
Add here...
Use the table below to display your initial request, include the approved line items on your proposal and the proposed cost of these. Insert the real cost of each expected line. Add extra lines for additional expenses that were not anticipated in the proposed budget. If your budget is in local currency, please use the exchange rate on the date (or an average of the dates) that your money was transferred to your account. Historic mid-rates can be found here.
Please reuse your initial request, provide initial budget for each line, indicate actual expense for each line, and finally justify significant differences.
Proposed line item | Initially budgeted | Actual spend | Explanations (of differences) |
---|---|---|---|
internet Subscription | P1200 | P2019 | I initially budgeted for 3 people but we ended up having 4. and internet subscription have been increased from P400 to P560 except for 1 person. |
Lab (for Edit-a-thons) | P4000 | P2500 | Initially planned for 2 In-person event but ended up having 1 |
Panel of discussion (venue and snacks) | P3000 | P4350 | Looking at the number of people who were registering to attend we were forced to book for 50 people and the price increased. |
Food (water, Drinks and lunch) for edit-a-thon | P4000 | P1093.95 | we had only 1 in-person event instead of 2 which was not well attended, i think it was because of it was on a holiday many people have travelled for Easter. |
Advertising(Poster Design,and social media boosting) | P1000 | P1073 | The social media boosting increased the budget a bit. |
Transportation (From and to events running errands for the sessions and participants with no transport fare) | P800 | P1200 | We were forced to do a lot of follow ups and venue checking for the panel discussion, which increased the amount we spent on transportation |
Incentives (Guest speakers and organisers 8 t-shirts (P120 each) certificates for all participants(design and print P20 each), Water Bottles 23 (60 each) ) | P2740 | P1340 | We initially planned for 20 participants but less than 10 people contributed. |
Communications (planning, booking lab, guests and participants) | P500 | P675 | We used a lot of airtime in calling different departments, venues for panel discussion and finding speakers |
Contingency (Photography P900, chairs and side tables P1250 and bank charges P244.26 + P527.50, stationary 108.50) | P500 | P2921.76 | We had to add photography for clear and nice pictures of the panel discussion, chairs and side tables for the panelist and other for bank charges |
Baby care | P700 | P1050 | Sometimes i had to come home late which forced me to pay overtime for baby care. |
