Purpose of the report

This form is for organizations receiving Annual Plan Grants to report on their results to date. For progress reports, the time period for this report will the first 6 months of each grant (e.g. 1 January - 30 June of the current year). For impact reports, the time period for this report will be the full 12 months of this grant, including the period already reported on in the progress report (e.g. 1 January - 31 December of the current year). This form includes four sections, addressing global metrics, program stories, financial information, and compliance. Please contact APG/FDC staff if you have questions about this form, or concerns submitting it by the deadline. After submitting the form, organizations will also meet with APG staff to discuss their progress.

Global metrics overview - all programs

Telling your program stories - all programs

Please tell the story of each of your programs included in your proposal. This is your chance to tell your story by using any additional metrics (beyond global metrics) that are relevant to your context, beyond the global metrics above. You should be reporting against the targets you set at the beginning of the year throughout the year. We have provided a template here below for you to report against your targets, but you are welcome to include this information in another way. Overview of this quarter

The purpose of this section is to provide a brief overview of this report. Please use no more than 1-2 paragraphs to address the questions outlined below. You will have an opportunity to address these questions in detail elsewhere in this report.

CHANGES: Please describe how you changed your plans and budget based on the FDC allocation approved by the Board in December 2012, and your rationale for these changes. You can then use the changed plans and budget as the basis on which to report back on the first quarter.

  • We got a grant from Vinnova which was quite specified, so we recruited a GLAM-technician, which was not specifically mentioned in the plan in the grant proposal. However, since that project is a key driver for Wiki Loves Public Art (by setting up a similar infrastrucuture to Wiki Loves Monuments) it is benefitial to all chapters and language projects, and the shift in focus is still very well aligned with the WMF mission.

HIGHLIGHTS: What were 1–2 important highlights of the past quarter? (These may include successes, challenges, lessons learned.)

  • Establishing cooperation with the Swedish University of Agriculture including the first ever employed Wikipedian in Academy. This is the tip of the iceberg on our Wikipedia Education Program which has gained teriffic reach.

WIKI-FOCUS: What Wikimedia projects was your entity focused on (e.g., Wiki Commons, French Wiktionary) this quarter?

  • Mostly Wikipedia through workshops and seminars but also Commons in preparation for museum uploads (and a few minor ones), but also Wikiversity for creating an online course for Wikipedia.

GROWTH: How did your entity grow over the past quarter vs. the previous quarter (e.g., Number of active editors reached/involved/added, number of articles created, number of events held, number of partipants reached through workshops)?

  • During Q1 we have had 54 meetings/workshops/seminars/edit-a-thons with external parties. This is mostly through workshops in GLAM, education and supporting underrepresented groups and most of them will lead to for further collaboration. From these meetings more than 100 educators were reached.

Financial summary

The FDC requires information about how your entity received and spent money over the past year. The FDC distributes general funds, so your entity is not required to use funds exactly as outlined in the proposal. While line-item expenses will not be examined, the FDC and movement wants to understand why the entity spent money in the way it did. If variance in budgeted vs. actual is greater than 20%, please provide explanation in more detail. This helps the FDC understand the rationale behind any significant changes. Note that any changes from the Grant proposal, among other things, must be consistent with the WMF mission, must be for charitable purposes as defined in the grant agreement, must be reported to WMF, and must otherwise comply with the grant agreement. The WMF mission is "to empower and engage people around the world to collect and develop educational content under a free license or in the public domain, and to disseminate it effectively and globally."

  • 10 new editors attracted through the workshop with the Association of Mental Health of which 50% were women.
  • 5 volunteers that are more capable of doing chapter work.
  • 11 participants at the Womens movement history workshop (9 women and 7 new users).
  • 47 participants at the Fashion edit-a-thon (~64% women).
Activities conducted.
  • Workshop with the Association of Mental Health (Föreningen Psykisk hälsa), a group with high expertise and high percentage of women.
  • Gave a course for volunteers, where we developed skills in presenting Wikipedia and increased their knowledge of chapter activities.
  • Announced a scholarship for Wikimania.
  • Womens movement history workshop
  • Workshop with some of the students from Stockholm University as a preparation for the Fashion edit-a-thon
  • Europeana Fashion edit-a-thon at the Nordic museum in cooperation with MoMu - Fashion Museum Province of Antwerp.
What worked and what did not?
  • It seems very fruitful to work with an external party that has a great passion for a subject.
  • The more Wikipedians you can get to participate as experts, the better.

  • The goal for the SLU is that 100 PhD students should make substantial contributions on Wikipedia
  • Wikipedia education program is initiating dialouge with established organisations delivering educational resources in Sweden. Creating easy-to-find material and 'how-to' for teachers, students & pupils to use.
  • Starting to translate the Wikipedia Campusambassador training to Swedish.
  • Keeping a good dialouge with WMF education staff, Annie Lin, about their development and ours and what we may learn from each other.
  • Wikipedia has been educated to around 75 teachers, librarians and others within education through workshops, courses and lectures.
  • Booked 2 future workshops after lectures held.
  • Had a blogpost published at a educational forum for teachers with information about the online course.

What worked and what did not?
  • There are a lot of opportunities and interested teachers and professors.
  • Simply being present at Ed-camps and such alikes are important to network and make a 'name' for ourselves in the educational sphere in Sweden.
  • Well planned education program, focusing on getting fewer highly involved teachers rather than several less interested. Builds a good platform for turning them into spokespersons for both the education program and the Wikimedia projects.
  • Talking at events which are freely visited by teachers but not mandatory works better than forced meeting where they are less interested generally.
  • To give away workshop will have to be less generosily done, and with more focus on what they will achieve with it before offering a free workshop to them.
  • Smaller groups are better! When in lectures with about ten people, there are plenty of opportunity to have dialouges about Wikipedia and its usage in education. When more, there is less opportunity to talk.
  • A long-term view building good relationships to teachers, professors, principals and other educational organisation as they may disseminiate knowledge of Wikipedia in education to many more than Wikimedia Sverige could reach out to alone.
  • To initiate contact with SLU and ending up having them employing the world's first Wikipedian in Academy worked amazingly well!
  • The online course for teachers is generating more interest and 16 teachers have signed up so far. It does need to be talked more about in our social channels and overall in educational contexts.
  • The short presentation at Bibmeet (meeting for librarians) led to a invitation to host education for librarians in August hosted by the same people who held this BibMeet. Good outcome for a few hours spent on this seminar.
  • Stockholm University workshop led to two more invitations by the same institution for teachers who are educating themselves to further their competences.

  • Three museums expressed interest in donating high quality media and two of them are actively enhancing their metadata in preparation for an upload on Commons.
  • A volunteer running the article creation competition with help from board and staff members. Publicity generated by cooperation with an already existing competition.
  • Staff members involved in WiR discussions and batch upload help. Public art data released and worked on as part of the Europeana Awareness Wiki Loves Public Art contest.
  • Ten municipalities and the National Public Art Council Sweden released their data, or parts thereof, for use in our datbase on public art.
  • Three Commons videos produced. Example.
  • The Swedish National Board of Heritage presented their report about having Wikipedians in residence with pro-tips to other institutions if they want to have such too.
  • 25 interested museum volunteers participated at the presentations at the Working life museum fair.
  • 362 images from the Nordic museum and 8 images from MoMu.

What worked and what did not?
  • Cooperation with the museums and archives work very well because we have long term relationship through the letter of intent with the Central Museums Cooperation Council signed last year.
  • Even though the GLAMs are very enthusiastic and positive, not all of them have internal resources to make a large commitment.
  • The National Public Art Council Sweden (Statens konstråd) agreed to releasing their art collection database but felt that the legal status surrounding Freedom of panorama was not sufficiently clear to release their pictures.
  • When communicating with municipalities there is a need to be very precise. The first requests for data has been missunderstood in some ways, but we are learning of this and also share our experience to the wider Open Data community in Sweden.

  • Discussions with The Swedish National Heritage board (Riksantikvarieämbetet) on working with us in preparation for the European Capitol of Culture 2014 in a QR-pedia project in Umeå.
  • Meeting with the Center for easy reading to see if they can assist with guidance on how to write ingresses that are easier to understand. 15 editors involved to pick articles for a test drive.
  • wikilovespublicart.se launched, competition starts in May.
  • We noticed that some news papers links directly to Wikipedia from editorial text and were published on a news site.
  • Swedish Radio, P4 Kalmar, made an interview with our Education manager.
  • Added the Sandbox gadget to Swedish Wikipedia.
What worked and what did not?
  • Great way to involve the community by asking them for qinoins on our activities.
  • Even though page views increased, it did not lead to any edits.

  • Make policy makers and institutions aware of the advantages of free knowledge.

  • Translation of the brochure from WMDE on why to not use NC in Creative Commons licenses almost done.
  • We are finding potential members of parliament that we should start working with.
Activities conducted.
  • We got an intern who will focus his work on political issues. His first task was to start translate the brochure from WMDE on why to not use NC in Creative Commons licenses.
  • Researched parties motions regarding free knowledge, open source and free licensing.
  • Attended Digisam Linked Open Data seminar.
  • Got an invitation to meet Skolverket, the Ministry of Education in Sweden to speak about Wikipedia in education and free knowledge in general.
What worked and what did not?
  • Great task for an intern, to start learning by translating. We should also take advantage of other chapters efforts more often.
  • We have not secured funding separate from FDC to let employees work on lobbying yet and are relying on volunteers. Hopefully with the intern, progress could be made later on.
  • The Swedish parliament website is a great resource for research.

Lessons learned

Lessons from this quarter

A key objective of the funding is to enable the movement as a whole to understand how to achieve shared goals better and faster. An important way of doing this is to identify lessons learned from entities who receive funds, and to share these lessons across the movement. The purpose of this section is to elicit some of these insights, which will be shared throughout the movement. Please answer the following questions in 1–2 paragraphs each.

What were your major accomplishments in the past quarter, and how did you help to achieve movement goals?

  • The many preparations on content upload from museums, which will soon enhance the quality on the projects.
  • Great interest in the education program in Sweden from teachers and others within the education sector. This is due to intense work of sharing the ideas about Wikipedia as a resource in education from the Wikimedia Sverige office to teachers and others around the country. Getting Wikipedia accepted in general Education will raise awareness and be a good breeding ground for new contributers.
  • Starting on getting data from the municipalities on public art. It will lead to more accurate articles and serve as starting point for Wiki Loves Public Art which hopefully will see a similar effect as Wiki Loves Monuments had.
  • To have supported the Swedish University of Agricultural Sciences to employ the worlds ever first Wikipedian in Academy! It will lead to more Ph.D. students and researcher to contribute to Wikipedia.

What were your major setbacks in the past quarter (e.g., programs that were not successful)?

  • The community is not very positive about the Article Feedback Tool. We will probably have to test other concepts on reader feedback.
  • Too much giving away free workshops and seminars for the education program as a point for teachers during a teaching day with too little obligation to provide anything back.
  • The program Reader participation is suffering now due to heavy work load in the other projects.

What factors (organizational, environmental) enabled your success?

  • Our enthusiastic and energetic staff is our greatest resource.
  • We also moved to a new office this month which will make daily life more pleasant.
  • Interesting and rewarding partnerships with schools, other educational organisations and museums.
  • Generally, there is a big curiosity amongst other organisations on how they could live in the Wikimedia universe. This means it is quite easy to get in contact with people and get their attention.

What unanticipated challenges did you encounter and how did this affect what you were able to accomplish?

  • Lack of communication within the organisation, learning from each others mistakes and simply reflecting as a group and a living and learning organisation has been rather unprioritised. All focus on running programs on the cost of working as a joint, culturally strong and vibrant organisation.
  • This year we are doing our financial report in a much higher standard than required in order to be transparent and have good orders. It was a lot harder than we thought and our treasurer and financial administrator have been working hard on this.

What changes might you make in executing your initiatives into the next quarter?

  • To a greater extent, make those we work with commit to a long term cooperation instead of one-offs.
  • Our CEO started in late March so from April on some routines and procedures will be changed.

  • As always our bookkeeping is available online.
  • In a managements course, Wikimedia Sverige got to serve as a case study. Six managers came to the office for one day and learned about the chapter and our growth and had to come up with ideas and strategies for future work. One major finding is that is imperative to find long-term funding to gain stability for the chapter. Other findings were ways to improve internal communications.

  • Blog posts produced in the quarter: 3 in January, 3 in February, 10 in March
  • We moved to a new office, Spotify kindly donated furniture.
  • We had our annual meeting, minutes (in Swedish). Slight changes in the by-laws to keep up with our growth.
  • Our new CEO started late in March, in the end of Q1 we are five-full time employees and two part-time.

  • Since the grant from Vinnova was quite specified we recruited a GLAM-technician, which was not specifically mentioned in the plan in the grant proposal. However, since that project is a key driver for Wiki Loves Public Art (by setting up a similar infrastrucuture to Wiki Loves Monuments) is benefitial to all chapters and language projects, the shift in focus is still very well aligned with the WMF mission.
