Purpose of the report

This form is for organizations receiving Annual Plan Grants to report on their results to date. For progress reports, the time period for this report will the first 6 months of each grant (e.g. 1 January - 30 June of the current year). For impact reports, the time period for this report will be the full 12 months of this grant, including the period already reported on in the progress report (e.g. 1 January - 31 December of the current year). This form includes four sections, addressing global metrics, program stories, financial information, and compliance. Please contact APG/FDC staff if you have questions about this form, or concerns submitting it by the deadline. After submitting the form, organizations will also meet with APG staff to discuss their progress.

Telling your program stories - all programs

Please tell the story of each of your programs included in your proposal. This is your chance to tell your story by using any additional metrics (beyond global metrics) that are relevant to your context, beyond the global metrics above. You should be reporting against the targets you set at the beginning of the year throughout the year. We have provided a template here below for you to report against your targets, but you are welcome to include this information in another way. Also, if you decided not to do a program that was included in your proposal or added a program not in the proposal, please explain this change.   • We encourage you to share your successes and failures and what you are learning. Please also share why are these successes, failures, or learnings are important in your context. Reference learning patterns or other documentation.

Multimedia program

Media acquisition

This program activity provides travel reimbursement for individual photographers in order to document various points of interest under free licences in the Czech Republic. Mediagrant also supports local projects held by the members of Czech community that support free content creation.

In the mid-year our participating photographers uploaded 3,437 pictures of 585 objects on Commons in the Mediagrant 2018. Total numbers: 12,448 pictures, 1145 objects, 28 participants, 3897 files used on Wikipedia In 2018, we spent all the money allocated to our photographic programs. This is a good news. But on the other side, it will be important for us to look for other sources of funding for 2019 (this will also apply to WikiTown).

For this reason we will also put more emphasis on observing the program principles (especially the travel efficiency and quality of pictures).

Lessons learned: In Media acquisition activity, we rely too much on volunteers who can leave at any time. Therefore, we try to simplify their work and continually search for new candidates.

To create a new program activity, which purpose is to make the whole process of taking pictures for Wikimedia Commons/ Wikidata simple and clear.


(target for Q3 + Q4)

To attract new Wikimedians-photographers we decided to create a brand new activity "We photograph Czechia". It should make the current rules of Mediagrant more simple. Big shift is also a ilustration of Wikidata items (not the Wikipedia articles).

We also restructuralized an associated tool of Mediagrant/ We photograph Czechia called "Tracker" (it is for registering and paying out the photo-journeys). The desired change is better UX design for participating photographers and approval-staff. Those changes we disscused with our community in advance.

Rules and landing site for We photograph Czechia including flyers design are finally done. First people started to participate and we got a positive feedback from them.

We successfully finished a several months work on Tracker. The new workflow can save hours of time every month for some participants.

Lessons learned: We knew that the more space we give to community to express their opinions, the more they will accept the changes. But to assure this, it is better to remind them this opportunity at least several times or better - regularly and wherever possible.
Photo-workshop: 150 photographs obtained, 15 objects documented From 2009 to 2017 13 Photo-workshops was organized. --- Photographic workshop organized by a volunteer Wikimedian occured between 14th - 16th September in Nové Město na Moravě.

Numbers: 276 media files obtained, 11 participants, n/a newl objects.

After this photographic workshop we gathered a feedback from participants and organizers for the first time (the same goes for WikiTown). The aim is simple: to improve organization and level of our future events. We created a feedback template. We also set up the duty for organizers to document their events for our PR purposes.
WikiTown: 500 media files, 50 newly documented objects In 2017 we organized the 4th WikiTown in the town of Litovel. 1,590 photos were taken, 85 new articles created. --- 2018's WikiTown took place between 7th-9th September in Kopřivnice in cooperation with local culture dept.

Numbers: 15 participants, 104 media files, n/a newly documented objects, 46 new articles (Dashboard).

Lessons learned: The most important experience in this year is the better distribution of responsibility between organizers. Not only for this issue we have been creating a very detailed to-do list during this WikiTown, which we apply for our future events.
Wikiexpedition: 1500 media files created, 100 new objects documented In 2017 our volunteers realized the Wikiexpedition in Klatovy and Domažlice districts. Participants took 7,508 pictures of 240 objects, more than 2,800 pictures is linked to Wikipedia articles. This traditional several-days event organized by Wikipedians took place in April 2018 across four districts of South Bohemia. 6 participants took pictures of local villages, towns, culture monuments, protected areas or trees which were not documented in Wikipedia yet.

Numbers: 3,516 uploaded pictures of 216 objects.

Total goals We successfully met the total goals for 2018. But the question is if the performance of our events expressed by numbers is the the most demanded goal. Probably not. We discuss more and more that the non-measurable values are more important for us than the pure numbers. Therefore we will try to put more emphasize on the community themselves and in late 2018 we took the first steps toward it.


We would like to:

* establish the channels for regular information of our community members

* appreciate more their volunteer activities (for example we offered an attendance at GLAM conference in Tel Aviv to our active member Jan Kamenicek).

* share their know-how across the whole community (we will create variety of manuals for event organizers. The first one was finished during the WikTown.

* give them the chance to influence our activities

* support them to organize their own activities (we started working on funding program for community)

* use their feedback for overall progress

GLAM

We are creating new partnerships especially with GLAM institutions, to organize Wiki-events at their place or to provide or distribute content managed by these institutions under free licenses or Public Domain.

To strengthen our cooperation with at least 2 institutions and design events that will be arranged by both WMCZ and our partners on a regular basis. With the support of Regional Museum in Slaný we hold an edit-a-thon focused on local topics. Another editathon at the Research Library in Olomouc took place with the aim to write new Wikipedia's articles on topics recommended by the library.

With Prague Zoo's director we have been negotiating about establishing a position of Wikimedian in residence in the Zoo.

Edit-a-thon in Slaný: After succesfull edit-a-thon in Slaný in 2017, we prepared its modest one-day follow-up in cooperation with local regional museum. In February 6 Wikimedians got together to edit Wikipedia articles about the town of Slaný and taking pictures of objects in close surroundings. For more see the official site of the event - Czech only. Numbers: 11 new articles, 96 uploaded pictures.

Wikimedian in residence @Prague Zoo: Since March 2018, Wikimedian in residence, Lukáš Nekolný, has been active in the Prague Zoo, funded by the institution. His goal is to improve articles on zoo-related topics. His activity on Dashboard

Edit-a-thon in Research Library in Olomouc is our traditional event in this institution. In November another event took place here (Dashboard).

With the help of Lukáš Nekolný we realized the first edit-a-thon right in the Prague Zoo. We would like to continue with the frequency at least one edit-a-thon per year here.

To establish cooperation with 4 new institutions This target wasn't set up at this time. Altough we organized several Wikipedia edit-a-thons. Edit-a-thon at Brno Exhibition Centre: Between 12th and 13th of May 10 wikipedians "occupied" a famous Brno Exhibition Centre to bring pictures and interesting facts about these premises on Wikipedia. The event was kindly supported by Brno Exhibition Centre itself, which also released some historical pictures of the area under free licence. Numbers: 95 new articles, 161 edited articles (including main English article), 275 uploaded pictures, 50 new Wikidata items.

In March in cooperation with Embassies of Sweden, Canada and USA we organized an edit-a-thon called WikiGap (as a part of an world-wide iniciative). The aim of this event held in the American Center in Prague was to cover missing Wikipedia articles about significant women. Thanks to Prague WikiGap, people can newly find information on Zdena Tominová, writer and spokesman of Charter 77 or Olga Fierzová, teacher and social worker fighting for lives of jewish children during the WWII. In total, 18 new women were brought to Wikipedia. The event was covered by Czech news server Aktualne.cz.

Thanks to our volunteer, Institut Bohuslava Martinů released some scores of famous Czech composer Bohuslav Martinů.

Wikimedian in residence at Faculty Of Science, Charles University: In June our Scientific images from Czech universities project was completed. Wikimedian in residence Jan Majer was contacting university scientists and researchers for 10 months.

After a meeting with us, The Czech Academy of Science decided to release a part of their media and text content under the free licence Creative Commons. This is huge success for us, because it is the first institution of such a scale in Czechia, which made this step. We will use it as an example to follow.

We contacted another three new institution to organize the Wikipedia workshops with us:

Edit-a-thon: „Dědictví. Evropské příběhy in cooperation with the Goethe-Institut Prague for students of Prague's Thomas Mann Grammar School.

Edit-a-thon in South Bohemian Research Library in České Budějovice, which was enriched by a presentation of advanced techniques of searching in library's digital sources.

In June we presented GLAM initiative on meeting of Czech "Open Cities" platform.

Our member, Jan Kamenicek visited this year's GLAM conference in Tel Aviv. In this way we sort of appreciated his activities for Czech Wikimedia.

To support the community in creating local cooperations with local institutions

(target for Q3 + Q4)

This target wasn't set up at this time. This target wasn't set up at this time. We missed this goal. Lessons learned: The work on We photograph Czechia was much more challenging than we could think, so we were not able to sufficiently engage in all the planned GLAM activities. In the next year we should better estimate a capacities of our multimedia manager and don't work on the tasks which are not "on the list".
To create partnerships with central culture institutions

(target for Q3 + Q4)

This target wasn't set up at this time. Arguments for contacting GLAM institutions. To be as effective as possible in establishing new cooperations with institutions, during Q1 we were gathering the best pros arguments, examples of successful GLAM projects and Open Access policies in institutions from abroad and put it into an introducing letter. This "offer" we would like to send coordinately to Czech institutions in the second half of the year as well as it will be present on our new website. See a new partnership with The Czech Academy of Science (above). Lessons learned: After a discussion with founder of GLAM, Liam Wyatt, we will slightly revise our GLAM strategy (contacting of potential GLAM institutuions). According to Liam we should more focuse on personal contacts than blanket addressing.

--- --- With the support of the Czech Alliance for Open Education we addressed the Czech political representants in EU to explain our view on “Public Domain Safeguard” issue (a part of the "Directive on Copyright in the Digital Single Market"). At that time we knew their (according to us) negative attitudes. In the next voting most of them changed their opinions. In fact we have no evidence if our letter had a decisive influence.


To inform the community of what is happening in advocacy --- --- All the year we were watching the Wikimedia public policy activities (we are subscribers of [Publicpolicy] news) and inform about them our members - in particular about Articles 11 and 13 in Directive on Copyright.

Wikidata & tech

This program concentrates on supporting the Czech Wikidata community in the widest sense, aiming to improve availability of freely licensed data (especially those related to the Czech Republic).

  • The program is actually an offshoot of the Media acquisition program - we wanted our Wikimedia Commons photographers to easily discover places without available picture. In our opinion, such service is best provided by a mobile app which loads data from Wikidata. This is why we finally embarked on our long-term support of the Wikimedia Commons mobile app's team, which culminated in 2018.
  • However, long-term sustainability of the program would not be possible without a skilled community of Wikidata volunteers. Therefore, organizing workshops and providing other learning opportunities is the second most important goal of the Wikidata & tech program. We also negotiate with Czech institutions to provide valuable data to be loaded into Wikidata.

The projects conducted in 2018 are arranged in a table next to the original targets:

Two Wikidata workshops (one to provide practical training for our community, one to coordinate our work with the National Technical Library team)
  • We organized a hands-on Wikidata workshop for our volunteers. It has become a tradition to hold them in the middle of the country (in the city of Pardubice) at the local university campus. This year we offered a SPARQL course for beginners (notes), which is popular with our community. The workshop was attended by 11 participants and we consider it a success.
  • The second workshop was organized in collaboration with the National Heritage Institute and attended by 17 participants (3 employees of the National Heritage Institute, 1 employee of the National Library, 13 Wikimedians). This was a series of talks and discussions which aimed to improve the on-going collaboration with the National Heritage Institute. Wikimedians asked questions about the data model used by the institute to catalogue monuments in the Czech Republic.
While the first workshop was organized as planned, the second was organized in collaboration with a different institution than originally planned. Both events were successful.

We learned that it is better to contact more institutions and see which one turns out to be the most responsive, rather than relying on one single contact. We are instituting this "decentralized" approach to the whole Wikidata program.
Collaboration with the National Library (integrating the TDKIV subject heading system with Wikidata)
  • The National Library was awarded a grant to get a "Wikidata upgrade" for their TDKIV subject heading system. To our knowledge, this is the first-ever project of a Czech institution which embraces Wikidata in such a direct way. We consulted on the work and helped with orientation in the Wikimedia environment. Most of the work on the project was completed in 2018, with >2000 subjects already connected to Wikidata.
  • We also proposed another project with the National Library to improve synchronization of library data with Wikidata. Nowadays, librarians in the Czech Republic manually create new subject entries in the library system (e.g. for writers, composers, etc). It is crucial that we link from these subject entries to Wikidata/Wikipedia and vice versa and the project aims to make such linking easier (semi-automatic).
Thanks to the outstanding team in the National Library, this project went even better than we could ever dream.

Co-authoring grant proposals with like-minded institutions is completely new for us and turns out to be really successful because it enables us to achieve our goals with help from other people from outside the Wikimedia movement.
(not in the original plan) Negotiations with institutions & data imports
  • We serve as an 'authority' which can negotiate with various institutions over the release of their data sets. Even though we did not explicitly mention this in the original proposal, we have since become pretty good in this and decided to share our results. In 2018 we met with several organisations to discuss their data: Nature Conservation Agency of the Czech Republic, National Library, but also smaller databases such as Prazdnedomy ('empty houses') and Krizky a Vetrelci (a regional heritage database). Subsequent import from these databases has served as a showcase of what we can achieve. The long-term goal is to connect to all regional databases so that Wikidata can serve as a 'metadatabase' of everything there is (see diagram below which shows various Czech databases and links between them stored in Wikidata).
Although not originally planned, serving as a go-to organisation for data imports into Wikidata has become increasingly important for us.
Promotion of the Wikimedia Commons mobile app The tremendous success of the Wikimedia Commons app is documented elsewhere (latest report, grant proposal for 2019). By promoting the app and financially supporting its development, we helped to achieve this success. The number of users of the app surpassed 4000, overcoming our original expectations (annual increase >25%).

Education programs

The overall goal of this program is:

  • to attract new editors and support them during their first steps on Wikipedia and sister projects,
  • to bring diversity on Wikipedia and sister project,
  • in the same time, we would like to raise "Wiki literacy" at schools. It means to spread awareness about how Wikipedia works, who can edit, where to check last changes and so on. We believe that it could lead to a pupils´ transformation from the role of a reader to the role of the editor. The new content on Wikipedia is considered as a very welcomed side effect, not as a primary goal.

  • We´ve been runing the education program (EP) for librarians and we´ve started to monitor their activity after the courses and gauge EP´s impact.
* Our senior program coordinator resigned which slowed down the development of the program.
  • We are more focused on keeping in touch with trained librarians because we want to keep them active. We would like to start a mentoring program for librarians to support them in running senior courses in their home library.
  • We are trying to cooperate more with universities of the third age (university program for pensioners) to find more participants for our courses.
  • We now have four librarians who ran courses for senior citizens.
Students Write Wikipedia
  • 10 teachers who regularly organize seminar how to edit Wikipedia for their students without help of wikipedians
  • to make a list of teachers´ and students´ needs and the obstacles they commonly encounter when joining the program as well as possible solutions.
  • The amount of new teachers joining the program is decreasing. So are the number of bytes added.
  • We don´t have enough volunteers (wikipedians who study at universities) to support teachers in the program (e.g. by having an introductory lecture about Wikipedia)

Teach (with) Wiki
  • to involve at least 10 (elementary or high) schools in the program
  • to try to work with children aged 10-15 and encourage them to become involved in Wikipedia and its sister projects
  • We have been invited to promote activity at different conferences focused on technologies and computers at schools. From time to time we also arrange workshops for pupils, which helps us to keep in touch with the children and try out new activities.
  • We designed a seminar Teach (with) - a Wikimedia educational program certificated by the Czech Ministry of Education, which shows teachers how to present Wikipedia in their classes through varied activities.
  • We presented the program at three conferences for teachers.
  • We ran the seminar Teach (with) Wiki for the first time. There were 8 teachers and we had very good feedback and a few suggestions which we took into account.
  • As from January 2018, we have been in a process of preparing for a WikiCamp (July 2018, Prague) - a day summer camp for children aged 10-15).
  • We presented the program at six events (conferences and summer school) for 122 teachers.
  • We ran Wikicamp where we had seven children. Even though we had less participants than we expected, the camp was a big success for us. It was our first experience with this target group and we received a lot of good feedback.
  • Two of our members participated in an Armenian WikiCamp in summer to gain practical experience and know-how for our own future camps.
  • We have started to work on a methodical guide for teachers which should help them with their first steps how to use Wikipedia in classes. The guide will contain five activities with instructions for teachers and worksheets for pupils.
  • We evaluated Wikicamp and we realised that the invested time and impact ratio are not effective. That is the reason we decided to focus only on teacher education, not on children.
  • We had to cancel the seminar Teach (with) Wiki because of the lack of participants. At the same time, we received few requests (from schools and libraries) for the seminar at their place. In future, we would like to run the seminar mostly in cooperation with an institution who ensures a space and at least a half of the participants.
  • It is very difficult to measure the impact of the program because there is no hard data (added bytes, new articles, …). We can measure only the amount of the trained teachers but we don´t know if their use it in their classes.


Wikiclubs: Wikiclubs are important and supportive places for the growth and health of our community. Occurring on a regular basis, they serve as great follow-up activities for participants from our education programs (mostly seniors and students) and as safe places for newcomers where they can meet both experienced wikipedians and other beginners. In 2018, we held 74 meetups in 4 cities with over 130 individual visitors. In Prague alone, there were 43 meetups with 333 visitors (107 individuals of which 52 % were women and 54 % were new editors) and 628 new or improved articles. All Wikiclubs are run solely by volunteers (all of whom are also Senior-citizens-write-Wikipedia trainers) so it is challenging to find and open new Wikiclubs. That, however, remains our aim because Wikiclubs have a positive impact on the generation and diversity of local communities.

The impact of our education activities on the strategic objectives of the movement: Thanks to our education programs we bring a diversity to the Wikimedia community and subsequently a diversity into a content of the Wikimedia projects. Through program Senior Citizens Write Wikipedia we enrich it with people aged approximately 60+ years, through Students Write Wikipedie we enrich it with students aged 19 - 24 year. In addition, both programs contribute to a greater involvement of women (more than 50% are women).

We also bring new editors into Wikimedia projects. E.g. from all graduates of senior program (2014-2018), 86% made at least one editing after 90 days from their account registration.

We are proud of our well-doing and long term collaboration with educational institutions such as schools, libraries, associations and government institutions which play an important role in our outreach efforts.
