Purpose of the report

This form is for organizations receiving Annual Plan Grants to report on their progress after completing the first 6 months of their grants. The time period covered in this form will be the first 6 months of each grant (e.g. 1 January - 30 June of the current year). This form includes four sections, addressing grant metrics, program stories, financial information, and compliance. Please contact APG/FDC staff if you have questions about this form, or concerns submitting it by the deadline. After submitting the form, organizations will also meet with APG staff to discuss their progress.

2018 in Wikimedia Czech Republic

The first months of 2018 were influenced by the fact that the chapter was in the process of recruiting a new executive director after the first ED of our chapter stepped down. The entire process of professionalization had been initialized at that time, and many issues still need to be set for future growth. Therefore the beginning of 2018 was marked by prioritizing among basic "house-keeping" needs and intensifying the cooperation between staff and the board during times of limited staff capacities. At the beginning of March, a new ED, Klára Joklová, was hired and could establish other essential areas of the chapter service - such as revenue, accounting, internal competences etc.

In May we launched strategic meetings for each of our programs. Each program was discussed in terms of goals and ideas for next months and years and the findings will be consulted with the board during the summer. On this setup basis, we would like to establish program groups - consisting of active members of the community, employees and board members - to create more open space for discussions about programs and their activities and its development. Revision of program goals for 2018, expected results and impact measuring should be among the next steps - among other things, the discussions showed that there is some need for readjustments in our program plan for 2018, too.

Since we are only a fairly small team, the fact that WMCZ prepares to organize Wikimedia Hackathon 2019, is a big factor in our annual planning. The biggest challenges for the second half of 2018 will be:

  1. Activity Planning - introducing Impact Assessment and Co-operation and Community Activation
  2. Internal stabilization - Completion of revenue planning, cooperation with partners, and activity-based collaboration between volunteers and employees - including new positions, such as the PR & fundraising coordinator, and volunteer coordination & administrative support

1. Media Acquisition Program

The first half of 2018 was mainly marked by resetting processes and finding new ways in our projects GLAM and Mediagrant. The aim of these efforts is to be as effective and systematic as possible in establishing new cooperations with institutions (GLAM) and to attract new photographers to Mediagrant project (which until now mostly attracted experienced Wikimedians). As a result of this intention we had to concentrate on "donkey work" (discussions, simplifying and creating new rules, manuals etc.) than "direct actions". However some specific activities and collaborations also took place.

Mediagrant

  • Description: Mediagrant is a framework which provides travel reimbursement for individual photographers (or in small groups) in order to document various points of interest in the Czech Republic. These points of interest are called "objects" and include towns, villages, settlements, protected areas, bodies of water, etc. The images are uploaded to Wikimedia Commons with proper description and categories then used in other Wikimedia projects, such as Wikipedia. Once the results are provided, WMCZ reimburses the costs. Photographers may also borrow photographic equipment, which is passed from hand to hand or available in our office.
  • Goal: 5000 photographs to be taken, 500 various objects ('points of interest') should be documented and 14 people in total will participate on such events.

The program has been successful over the past 10 years in gaining almost one hundred thousand of new valuable pictures. However, we are starting to recognize two limitations standing in the way of future development:

  1. The current rules of Mediagrant are becoming too complex to attract new regular photographers.
  2. Many regions of the Czech Republic are seemingly well-photographed by current standards and it has been more and more difficult to pinpoint places in need of a picture.

This is why we decided to simplify the rules. We believe that a simply designed initiative can draw attention of many new Wikimedia photographers, who will enrich Wikimedia projects with pictures or even became active Wikipedia editors as a final result. Big shift (compared to the present Mediagrant) is also a connection to Wikidata. The work on the rules is in the final stages and the launch, accompanied by a wide promotional campaign, is expected in August/September.

Numbers: In the mid-year our participating photographs uploaded 3,437 pictures of 585 objects in the "Mediagrant 2018".

WikiTown

  • Description: WikiTown is a group-oriented week-end workshop aiming at the improvement of photo-documentation of a given town and its surroundings as well as general improvement of the coverage of encyclopedic content via an edit-a-thon in the very town itself. Basic GLAM-related events as well as basic outreach (meetings with the locals, Wikipedia and other projects promotions events) also take place during a WikiTown.
  • Goals: 500 media files and 50 newly documented objects.

WikiTown under the guidance of a local Wikimedian is planned for 7th-9th September in Kopřivnice.

Photographic workshop

  • Description:Photographic workshop is a group-oriented event aiming on photographic documentation of a given area only. Aside from this, the event mostly concentrates on sharing experience, lessons and presentations related to photography and evaluation of the work made. A single photographic workshop takes on average 2 days.
  • Goal: For 2018 one event is planned with 150 media files to be obtained and 15 objects to be documented.

Wikiexpedition

  • Description: Wikiexpedition is an event aimed at obtaining large amounts of pictures by a smaller group of people. An usual Wikiexpedition is motorized, focused on a broader region (up to 150 km in diameter) and has one major goal: To obtain as much relevant and usable pictures from a remote area as possible. A typical wikiexpediton takes 4-8 days.
  • Goal: 1 Wikiexpedition is planned with 100 new objects to be documented and 1500 media files to be created.

This traditional several-days event (see blog post, project website) organized by Wikipedians took place in April across four districts of South Bohemia. With prepared maps in advance, 6 participants took many pictures of local villages, towns, culture monuments, protected areas or trees which were not documented in Wikipedia yet.

Numbers: 2,750 uploaded pictures of 216 objects.

Multimedia Outreach

  • Description: Multimedia Outreach is focused on contacting institutional and individual media creators outside of the community and negotiate publishing their works under a free license. For an example scientific photos at research institutes, collaboration with projects that produce science videos, contacting city authorities to upload photos of their village, individuals making time-lapse photography, eg from the surroundings of construction or demolition of a significant building, a capture of changes of protected areas in the seasons, etc. Promotion public awareness, which consists of an education and promotion of Wikimedia multimedia projects. Help beginners with taking and uploading pictures are also part of it. These are the projects of the Program manager. The person will undertake various projects of his own within the scope mentioned above.

  • Faculty Of Science, Charles University: In June our Scientific images from Czech universities project was completed. Wikimedian in residence Jan Majer was contacting university scientists and researchers for 10 months. He asked them to release their pictures (taken during their work) under a free license to Wikimedia Commons. Despite Jan's efforts (e-mails, flyers, personal contacting - it turned out the latter is the best approach), their interest was surprisingly low. Only 5 from 74 were willing to release 33 pictures in total. Nevertheless, Jan's experience is valuable for planning our further projects in the future. This project was funded by the AVAST foundation.
  • Prague Zoo: Since March 2018, another Wikimedian in residence Lukáš Nekolný has been active in the Prague Zoo, funded by the institution after last year's negotiations. He is paid by the Zoo to improve articles on Zoo-related topics. His activity can be seen on Dashboard. In the next months we plan to organize an edit-a-thon in the Zoo.
  • Institute of Bohuslav Martinů: In January, we started a new project in cooperation with the Institute of Bohuslav Martinů. Wikimedian in residence Kateřina Nová contacted an art school and art programs of universities in the Czech Republic which with a call-to-action to join Students Write Wikipedia program and write about the work of famous composer Bohuslav Martinů. The timing was not the best because it was very close to the beginning of the summer term and the institutions which were interested in didn't have enough time for preparation. In the end only one university joined the program and we hope another one will do so in the next term. This project was funded by the AVAST foundation and was completed in June. Even though the project was not a big success, we continue to cooperate with Kateřina, who will help train new Wikipedians.
Public policy initiative

Unfortunately the common practice of many Czech cultural institutions is to claim copyright on Public Domain works of art in their collections, using watermarks etc. to ensure the access to the works is restricted. To improve this situation we started negotiations with authorities and interested politicians.

Planned changeː We are going to relocate GLAM activity upon Multimedia Outreach activity (from Education & Institutional Collaboraboration Program) - in cooperation with institutions, creating partnerships and gaining content are those two activities higly connected and both have the same goals. We would like to concentrate on supporting the community in creating local cooperations with local institutions and use the capacity of multimedia manager to concentrate on dealing with central institutions to creating partnerships at different level. Both activities are managed by multimedia manager as well.

Media Acquisition program - lesson learned

  1. there is a huge opportunity for effective cooperation with the community on a different level that we are about to work on - communicate planned changes and use their feedback for progress - we are looking for the better communication channels, everyday cooperation, and clarification of different roles and principles, mutual expectations and targets of a fruitful cooperation
  2. we need to gradually work on supporting the creation of peer community instructions - from experienced members to the others
  3. we need to set up a position of Wikimedian in residence better - for their benefit for activity is essential that they have a big support inside of an institution, where they operate, otherwise is very hard to motivate the others for cooperation
  4. decision making process in creating of new partnerships - for scaling up the effectiveness

2. Education & Institutional Collaboration Program

The overall goal of this program is to attract new editors and support them during their first steps on Wikipedia and sister projects. In the same time, we would like to create good conditions and friendly space for educators (teachers and Wikimedia trainers) who are involved in education programs. The new content on Wikipedia is considered as a very welcomed side effect, not as a primary goal.

Students Write Wikipedia

  • Goals:
    • 10 teachers who regularly organize seminar how to edit Wikipedia for their students without help of wikipedians
    • to make a list of teacher's and student's needs and obstacles to know how WMCZ can support them in the program

Students Write Wikipedia is a program focusing primarily on cooperation with universities on creating and improving articles related to studied branch. We started in 2011 and almost all universities in the Czech Republic have been since involved in the program. It represents a huge mass of young people engaging in Wikipedia. In the school year 2017/2018, we had 21 teachers (representing 21 institutions) running 29 courses with Wikipedia. Live lectures are a method of choice to learn about Wikipedia for university students, according to our questionnaire, but we cannot currently provide a lecturer for all classes working with Wikipedia. One way would be to reinvent the "Wikipedia ambassador" system, another is to concentrate instead on interactive guides, which are less dependent on expert workforce. This will be our main focus in this program for the rest of this year. Our main initiatives this year are:

  1. How to teach teachers to work with the Programs&Event Dashboard - some of them prefer to use text editor where they can make a review more comfortably than on Wikipedia. We believe that if we will be able to explain to them how to use the Dashboard, they will love it.
  2. Teacher's and student's needs - we would like to continue with discussions with them and find a solution together.
  3. How to raise wiki ambassadors - we are inspired by Wikimedia Serbia and their Wikicamp for ambassadors, we are thinking about ways to implement this.

Seniors Write Wikipedia

  • Description: Seniors Write Wikipedia is a project which started in 2013, involving seniors in Wikipedia. Courses are free of charge. Since then we have successfully organized more than 40 courses and we have had almost 400 participants from 14 towns and cities. Thanks a methodology prepared for trainers our program grew more and more professional over time. The methodology contains a course curriculum, instructions, tips for lectures and a sophisticated feedback.
  • Goals
    • to stabilize cooperation with institutions in big cities (Prague, Brno, Plzeň, Ostrava) and to have regular senior courses there
    • to involve more librarians as trainers for senior courses and have at least two courses per semester teached by them
    • to involve seniors into wiki community and encourage at least two seniors to be part of chapter's activities (to present senior program on conference, to be a co-trainer on course, …)

The senior program is very popular and brings much-needed diversity to Czech Wikipedia thanks to the involvement of older people with different experiences. The program is free of charge so our courses are low-threshold. At the present time, we stabilize the program and add support activities which have two goals: 1) to help to spread our experience with this project to new cities of the Czech Republic and 2) to keep the previously trained senior editors still active.

In general, we can divide this year's program activities into the following projects: regular courses, a WikiTown event for seniors, Wiki Clubs and training sessions for librarians. Program timeline and media outputs can be found here (in Czech).

Courses

  • A total of 77 people participated in 7 courses in 5 cities (Prague, Brno, České Budějovice, Olomouc, Plzeň) this year. Here is the map with cities where we have run a course in the past. Prague and Brno especially are stabilized and tend to have 2-4 courses per year.
  • However, our courses are dependent on a handful of trainers who are time flexible and experienced as Wikipedia trainers. When we lose them (due to graduation, illness, changing priorities) we do not have any other trainer there. That is the reason why we deal with the concept of a "co-trainer". Our idea is to build a network of co-trainers and thus have a backup in case of a standstill. Co-trainer will be a support for our trainers in courses (primarily there where is more than 6 participants) so they can gain some experience with teaching senior citizens and one day, some of them can become independent trainers.
  • We have transformed the instructions for senior citizens to a pretty handout for beginners. We distributed it in printed version all across the Czech Republic for our participants and people evaluate it as a very helpful material. We started to use it also for other target groups as librarians or during edit-a-thons. Currently, we work on an updated version with more instructions (also for advanced ones).
WikiTown for seniors

  • In our terminology, WikiTown is a "Wiki Takes"-like event concentrating on a specific town or city of the Czech Reoublic. This is the first year when we organized a WikiTown tailored to graduates of our senior citizen program. It took place in the town of Broumov and we spent there 3 days. It was co-funded by Veolia Foundation so participants only paid only a very low fee.
  • The goals of the event were: 1) to develop their editing skills and motivate them for their next work on WMF projects, 2) to involve them into Czech wiki community and encourage them to be part of our chapter‘s activities (to present program on, to be a co-trainer on course, …). Look at the Dashboard course how much work they did, check the blog post (in Czech) or see pictures from the event.
  • We have had a very good feedback from participants. They learned a lot of new things, became more "self-confident" in Wikipedia, built new friendships, visited a new region and much more. Some of them are also active in our chapter. One of them will present the senior citizen program on a conference in autumn, another one will be a co-trainer in České Budějovice, a few of them came to support us to our stall at the Fresh Senior Festival in May. We are looking forward to seeing what impact the WikiTown will have in future.
WikiClubs

  • In 2016, we started Wikiclubs in Brno and Prague – it is a public meet-up where people can edit together or ask for advice. It takes place regularly, e.g. once per week in Prague or once per month in Brno (it depends on the local community). We observe that this concept is very popular among senior citizens who visit it abundantly. In some cities (Česká Lípa, Havířov and Plzeň), trainers use this concept instead of advanced courses. It allows easier adaptation of the content to participant's needs and there is no commitment for regular participation. We also like the idea that we create a space where seniors citizens can meet Wikipedians and students who also attend Wikiklubs and they can help to each other.
Trainings for the librarians

  • We did a lot of courses for librarians with an intention to extend the program to other cities. Unfortunately, there is very few of them who run their own course for senior citizens. We think that it is caused by lack of self-confidence and few opportunities to train newly acquired skills. There were also many librarians who did not want to train senior citizens, they were only personally interested in Wikipedia and wanted to learn how it works. We took into account these needs and based on our experience we design the educational system for librarians.
  • There are 3 courses which we offer now:
    • Wikipedia Basics for Librarians (a one day course) - A common basis for all librarians.
    • Editing workshop (one day course) – Workshop is not only for librarians but for anyone who would like to build up his/her editing skills (f.e. teachers, Wikipedian in residence..). The goal is to create a safe and undisturbed space for editing with individual care from Wikimedia trainers. The outcome is a new article. We tried it out and it works very well.
    • How to Teach Seniors to edit Wikipedia (one day course) – Course only for librarians who would like to start a course in their home library. There is a prerequisite, they must have basics of editing Wikipedia. They can take previous courses or they can learn it by themselves.

We scheduled all courses for autumn and we hope to succeed with this new model.

Teach (with) Wiki

  • Description: Teach (with) Wiki is a program focusing on elementary and secondary school students. Since many university students already have their hobbies pretty much settled and it is not that easy to bring them to long-term Wikipedia editing, WMCZ initiated the the Teach (with) Wiki program in 2016, aiming on elementary school students.
  • Goal: The goal of the program is to develop critical thinking and digital literacy through activities related to Wikipedia. This will help the students to work with Wikipedia in a different role than just a reader and help us develop ways of engaging the youngest potential contributors – indeed, many of us started editing Wikipedia very early, often at secondary school.
  • Goals:
    • to involve at least 10 (elementary or high) schools into the program
    • to try to work with children aged 10-15 and engage them in Wikipedia and its sister projects
  • Activities which help us to achieve our goals:
    • to organize How to use Wikipedia a seminar for teachers in class
    • to get know-how from Wikimedia Armenia related to Wikicamps
    • to organize a Wikicamp

Our topic – how to teach with Wikipedia - is very popular so we have been invited to promote activity at different conferences focused on technologies and computers at schools. In the first half of the year, we presented at 3 conferences for teachers. Time to time we also arrange workshops for pupils. It helps us to keep in touch with the children and try out our newly invented activities.

For the first time, we run the seminar Teach (with) Wiki which is Wikimedia educational program certificated by Czech Ministry of Education. It shows teachers how to present Wikipedia in their classes through varied activities. There were 8 teachers and we had very good feedback and a few new initiatives which we took into account. We schedule next seminar for October 2018.

From January, we are in a process of preparation of WikiCamp (suburban camp for children 10-15-years-old), that will take place on July in Prague. During planning, we have been inspired by Wikimedia Armenia program for kids, two of our members are participating Armenian camp this summer to bring practical experiences for next years.

GLAM

GLAM platform has a strong presence in Wikimedia Czech Republic. For the upcoming year we would like to continue in its development. We have built up a network of GLAM partners, including the National Library of the Czech Republic, the National Technical Library, The Moravian Library, the Prague Zoo and the National Heritage Institute. We are proud of the events arranged with such institutions on regular basis. Several edit-a-thons are already planned for 2018: one in the Scientific Library of Olomouc focusing on history of the region, one in the National Technical Library and another one in the Prague Zoo focused on their animals.

  • Goals:
    • to extend the program and to initiate new cooperation with at least 4 new institutions
    • to strengthen our cooperation with at least 2 institutions and design events that will be arranged by both WMCZ and our partners on a regular basis.
  • Activities which help us to achieve our goals:
    • arranging workshops and edit-a-thons
    • addressing new institutions with offers for cooperation

In this year we also wanted to develop our GLAM activities (wide cooperation with institutions) in more systematic way. To date our volunteers rather randomly contacted some galleries, museums or archives. They succeed in gaining some free pictures for Wikimedia, but it was more one-time exchanges than ongoing collaboration.

Two events took part in collaboration with GLAM-like institutions:

Edit-a-thon at Brno Exhibition Centre: Between 12th and 13th of May 10 wikipedians "occupied" a famous Brno Exhibition Centre to bring pictures and interesting facts about these premises on Wikipedia. The event was kindly supported by Brno Exhibition Centre itself, which also released some historical pictures of the area under free licence (Blog post in Czech). Numbers: 95 new articles, 161 edited articles (including main English article), 275 uploaded pictures, 50 new Wikidata items

Edit-a-thon in Slaný: After succesfull edit-a-thon in Slaný in 2017, we prepared its modest one-day follow-up in cooperation with local regional museum. In February 6 Wikimedians got together to edit Wikipedia articles about the town of Slaný and taking pictures of objects in close surroundings. For more see the official site of the event - Czech only. Numbers: 11 new articles, 96 uploaded pictures.

In March in cooperation with Embassies of Sweden, Canada and USA we organized edit-a-thon called WikiGap. Aim of this event held in the American Center in Prague was to cover missing Wikipedia articles about significant women. Thanks to Prague WikiGap people newly find information on Zdena Tominová, writer and spokesman of Charta 77 or Olga Fierzová, teacher and social worker fighting for lives of jewish children during the WWII. In total 18 new women were brought to Wikipedia.(The event was covered by Czech news server aktualne.cz)

The Change:

  1. To develop GLAM we were gathering the best pros arguments, examples of successful GLAM projects and Open Access policies in institutions from abroad and put it into an introducing letter. This "offer" we will send coordinately to Czech institutions in the second half of the year as well as it will be present on our new website.
  1. to relocate GLAM upon Multimedia Outreach activity

What is not a success so far: This year we got in touch with new institutions such as The Czech Academy of Sciences, The University of Chemistry and Technology or Hnutí Duha (ecological NGO). They seemed to be interested in free licencing or providing their pictures, but unfortunately, despite our reminders, they stopped responding. To avoid this would be surely a big challenge in our other activities (in GLAM above all).

Trainings for the Wikimedia community

  • Description: This activity should help our volunteers to stay in touch with more complicated issues. In 2017 WMCZ has arranged a copyright-related seminar for a group of 15 people. Aside of that WMCZ also trained 2 new trainers for senior courses (on an individual basis). We want to arrange new workshops and edit-a-thons in order to make our community stronger and more developed. For that we will also be addressing new institutions and offering them cooperation. We also arrange regular meetups (in Prague and Brno) where we talk with community members about their needs and requirements for volunteer involvement.

We organize regular meetings for community members (mostly editors) in Prague and Brno (once per month) and occasionally in other cities (České Budějovice). We arranged two meetings with EDU trainers to improve their skills. We organized a special meeting with the community where we could have presented what happened in our education program in 2017 and we may discuss what is planned for our focus for 2018. There was also a discussion about what we can do together and what are the ways for the community to play an active part in the program.

Education & Institutional Collaboration Program - lesson learned

  1. for progress in education programs we need to create a new lecturing system - we have actually lack of community lectors, although the interest in different types of courses in different places it much greater, so we need to create a long-term plan in growing up the lectors for different types of courses
  2. the system of ambassadors at schools would work best, with less need for our staff support - ambassador can be supportive on different levels, but for us, this is the most effective system that we want to concentrate on
  3. it is essential for us to focus on setting long-term goals which are connected to Wikimedia values and principles, as we do not want to lose track in the meshwork of different opportunities

3. Wikidata & tech Program

First efforts with Wikidata in our chapter started two years ago as a part of the Media Acquisition Program (program #1) where we aimed to create a simple map for our photographers with all the points of interest worth capturing for Wikipedia Commons. It later grew into a full program but the stress on map data remains – we have supported the Wikimedia Commons App team in 2017 and organized a pre-hackathon which lead to the "nearby places" feature. Additional activities include trainings for Wikidata editors and Wikidata wannabe-editors and also partnerships with institutions to donate data to Wikidata. — see grant proposal for more background.

  • We gave a lecture on Wikidata to a classroom of ladies who are learning to code at the "Digital Academy Czechitas". The feed-back has been positive and we also further mentored two participants who decided to volunteer for Wikimedia Czech Republic in their final project. They compiled a massive amount data on our senior citizen project and created beautiful visualisations which demonstrate the long-term efficacy of the project in recruiting new editors. Thus our tech community serves other programs.
  • We also organized a workshop for our Czech Wikidata community. It is becoming a tradition to invite the community to the University of Pardubice, which is in the middle of the country. This year we offered a SPARQL course for beginners (notes), which is popular with our community.

Collaboration with Institutions

  • Our collaboration with the National Heritage Institute (NPÚ) has been a huge success. Not only have our volunteers completed the data import of all heritage sites and data cleaning, we have also held a workshop together with NPÚ employees and even pointed out several dozen errors which we found in their data (which they then mostly corrected in their database)!
  • We significantly increased our efforts to collaborate with small database owners, especially those dealing with national heritage. This is because our Media Acquisition program is in need of more and more points of interests for our photographers. We successfully started collaboration with 4 such database owners and all of them are already being imported into Wikidata by our volunteers. One of the databases is maintained by the National Library, which even received a grant aimed at synchronization with Wikidata.
