How it works:

  1. Once you submit your eligibility form to program staff, they will set up the form for you.
  2. Staff will customize the number of program sections and staff sections included in this form, and add your basic application information
  3. After that, you can complete the form with your program and staff information.

These two requests are required of first-time applicants. In future years, you can use reports to substitute for these requirements.

  1. Link to one program story that showcases your organization's achievements in the past year.
    A program story can be from a past blog or report. You don't need to create a new story for this application if you already have one ready. The story can be in written form, or can be a video or audio recording. The program story should focus on the results you have achieved through one of your programs. We suggest that you review the the ABCD approach to storytelling and the other guidelines on the storytelling page: (1) get the audiences attention; (2) explain why your story is relevant to them; (3) tell your story; (4) include a call to action.
  2. Link to one learning story you have created or contributed to, that demonstrates how your organization documents and applies learning.
    You can visit this page to learn how to make a learning pattern, or include a blog entry, video, or other story that shows how your group or organization learns. Your learning pattern or story can focus on your programs, or on other aspects of running your group or organization. If you already have a good learning story ready, you don't need to create something new for this application.

Link to these documents only if you have them.

  1. Link to your organization's staffing plan.
    The staffing plan is a document that describes how your organization will use and manage staff, and what policies you have in place for staff.
  2. Link to your annual plan.
    The annual plan describes your planned programs and activities for the coming year, and is made together with the communities you work with.
  3. Link to your strategic plan.
    The strategic plan shows your high level goals and approach for the next several years. It helps guide your organization in making your annual plans each year.

Programs

This section is about your organization's programs. A program is a group of activities that work together to achieve the same things, and have a similar way of achieving those things. Your program objectives, describe what you are trying to achieve through your program. Please don't include the activities you need to do to run your organization here (e.g. administration, internal IT, fundraising, communications).

Fill out a section for each one of your programs which includes your objectives and activities for each program and any other information you would like to include to help us understand your program.

  1. Be sure your program objectives are each Specific, Measurable, Attainable, Relevant, and Timebound (SMART). You can also contact WMF program staff for help working on your program objectives.
  2. You may also provide any additional information that is important to our understanding of this program in this section.
  3. Use the button to submit your global metrics targets, which are explained on the global metrics targets submission form. WMF will add these to your application once they're submitted.

Staff

A staff person or contractor is someone your group or organization is paying to do work. Answer a few questions about each staff person or contractor you plan to have during the grant period. You do not need to include contract services (e.g. occasional use of an accounting or legal firm) here, but you should include all part-time, full-time, temporary, or ongoing staff or contractors.

The staff person’s title will go here. (E.g. Administrative Assistant)

  1. Please link to a detailed job description, which shows how this staff person will help your organization achieve more.
  2. How long is this staff person or contractor's planned engagement with your organization, and how many hours will they work over the course of this grant? Please indicate if the staff person is an ongoing staff person that you expect to keep on from year to year. (E.g. 2,000 hours over 12 months, ongoing from year to year).
  3. Use a percentage of that person's total hours to show how they will spend their time on different programs and activities. E.g. 40% administration, 20% community management, 20% GLAM partnerships, 15% microgrants, 5% Wiki Loves Monuments. This breakdown is an estimate, and it is not binding.


Budget and resource plan

Make sure your budget and resource plan includes the following types of expenses by line item, grouped into categories. For each type, specify what you need covered in the grant.

  1. program expenses
  2. staff expenses
  3. operating expenses

With your budget, please also include your plan for how you will get resources to support your budget.

Please review the budget guidelines (coming soon) and then add a link here to your detailed budget (including your resource plan).

We suggest you use this template. Spreadsheets are encouraged, but you can link to a wikitable instead if you prefer to.
