Learning question: Did your work increase the motivation of contributors, and how do you know? Yes. It motivated attending people to edit articles related to the history of gaming. They wouldn't have written about the topic (history of gaming) without the editathon.

Tuo kulttuuri Wikipediaan was a series of editathons organized as a collaboration between Wikimedia Suomi ry, 6 GLAM organizations and the Summer University of the Helsinki Region.

Wikimedia Suomi teamed up with Helsinki Summer University and 6 GLAMs to produce a series of editathons. The six events formed a course during which the participants learn Wikipedia editing skills, edit culture-related articles and get a behind the scenes view of the participating cultural institutions. The partnership with the Summer University offers new visibility to Wikimedia Suomi and Wikimedia activities.

Commons for GLAMs training was arranged to the GLAMs that participated in the Editathon series.

It consisted of 3 separate events

  • Commons basics: Benefit, tools, practices, templates, tracking. Participants created their profiles and started with Institutional templates. There were 7 participants from 4 GLAMs.
  • GLAM-Wiki Toolset training. The workshops were discussed with Sebastiaan ter Burg (WMNL). Dan Entous held the workshop to the GLAM representatives at the local Europeana partner, the National Library of Finland. Liam Wyatt presented the ideas behind the GLAM-Wiki Toolset development through a Hangout. See the Hangout event. There were 7 participants from 3 GLAMs and one from Wikimedia Estonia, 3 WMFI assistants and a Board member.
  • A basic Wikipedia editing session was held at the Svenska Litteratursällskapet i Finland. The session was tutored by Juha Kämäräinen. There were 12 participants from 5 memory institutions.

Materials

Content uploads

We have not hurried with our content uploads, since we have been developing working methods that would be comprehensible for the GLAMs to use. This is taking time, since the upload recommendations are in turmoil. We will gradually increase the number of uploads while working in collaboration with the Wikimedia community about best practices.

We also take time to learn together with the Finnish Wikipedia community.

Content upload tools

Ari Häyrinen, assistant at Wikimedia Suomi ry, has worked on making tools for enhancing content metadata before uploading to Commons.

We hope to continue developing the tools in collaboration with the international community.

GLAM Editathon series planning workshop

May 21, 2014, Kiasma. The meeting of the GLAMs for planning the editathon series took place in [www.kiasma.fi Museum of Contemporary Art Kiasma]. The participating institutions were Helsinki City Library, Finnish National Gallery, The Finnish Museum of Photography, AvoinGLAM, Finnish Literature Society, Finnish Broadcasting Company Archives, Helsinki Art Museum, Svenska Litteratursällskapet i Finland and Frame Visual Art Finland.

Proposal/plan for new forms of GLAM activities

WMFI will want to focus on GLAM activities, and we will weigh which ones will be best in achieving goals we set. All GLAM participants in the Tuo Kulttuuri Wikipediaan series are very interested in future cooperation with Wikimedia Finland, with editathons, Wikimedian in Residencies and other forms that they have not yet familiarized with. This can be inspected in the feedback of the series. Collaboration with other Nordic chapters has become an option consider with every new project. There will be a lot to learn in the practicalities. GLAM activities are outlines as part of the WIkimedia Finland Roadmaps, drafted here (in Finnish).

  • WMFI had a hands-on demonstration booth at the ITK conference. Based on the plans and experiences, we made it into a Learning Pattern.
  • There have been opportunities for Fenno-Ugric projects and funding. There is also some interest in the community. In the lack of resources for running such projects, we decided not to go forward with the ideas now.
  • Started a tracking page for academic wiki research in Finland: w:fi:Wikipedia:Tutkimuksia wikeistä
  • Education projects will grow organically from the GLAM and cultural cooperation we do. There are bridges to numerous university programs, as well as possibilities for working with children in the low grades.

Wikimedia Conference. Attendees Johanna Janhonen & Susanna Ånäs

The idea of Board training was brought up in the Wikimedia Conference. The planned Board education during Wikimania will come handy in many terms, both in terms of exposure and learning.

Wikimedia Hackathon. Attendee Susanna Ånäs.
<3 program plan (Editor Engagement, EE, halted)

<3 project was taken away from the project list at the General Assembly. The community coordinators find it hard to motivate the community to such top-down approaches.

Meetups (2 events > 1 happened)

Meetup funds are resources for the community to meet i real life. They have not been requested, and we must start to promote them more vigrously.

  • One Wikipedia Editor meetup held in Jyväskylä in April, 3 attendees. The agenda: give insights to Johanna for Wikimedia Conference.
Workshop series (3 events > 4 happened)
  • The preliminary meeting of the GLAMs for the editathon series (May)
  • The GLAM content upload workshop series (September) 3 events
  • The planned Wikidata workshop (December) cancelled
Other events
  • Tiedettä Wikipediaan 26.2.2014 Helsinki

Workshop in Helsinki by the University of Helsinki, Salla Laaksonen, Tiina Lehmikoski-Pessa and Antero Aunesluoma. WMFI board member Iivari Koutonen presented Wikipedia editing and helped out novices.

Wikimania

Wikimedia Suomi ry had no presentations at Wikimania. However, we decided to have as many participants attending as possible. The Board training that was arranged in the context also made it worthwhile. 3 Board members attended in the Board training, and one also in the Train the Trainers session.

Community coordinator recruit report

Wikimedia Suomi ry recruited 4 assistants for short term assignments. The arrangement has proven to be successful in the scope of time we have had to observe. All assistants have found their unique angles and strengths. Working together in an organization that still has no physical headquarters is easier to manage when there are others to ask or share the work with. The arrangement is flexible and powerful. In the incredibly busy period during the autumn in WMFI, the possibility of having several people work at the same time was very useful, while it was not necessary to keep the arrangement in a calm period. This will only work if the assignment complements the person's other activities, and we have been lucky.

Ari Häyrinen's dissertation is about open cultural data for the University of Jyväskylä in 2012. His domain will be technical support and development for GLAM uploads, training and assisting the GLAMs in their practical challenges. He will also assist in some Wikimaps technical tasks.

Sampo Viiri comes from the Finnish Institute in London. He is a historian, and he created a report of Digital Humanities in the UK as part of his assignment in London. He will be with us occasionally, as a full-time job will occupy him primarily. His started in the domain of open data and was central in the arrangements for the Avoin Suomi fair.

Samppa Bernelius works as a doctoral researcher at the Geological Survey of Finland. He is a GIS professional and a Board member of GIS professionals' association ProGIS. Samppa will help in planning and funding the future Wikimaps projects, as well as sharing his experience in project planning for all WMFI activities.

Teemu Perhiö is a student of political history with student association experience. He is a seasoned wikipedian and wikimedian, and is fluent in publishing, graphic design, photography and many other crucial skills for the task. Teemu assisted the Tuo kulttuuri Wikipediaan editathon series as his first assignment. He will be central in the creation of the Wikidays.

Summary of Wikimedia in news
  • Helsingin Sanomat has been covering pretty widely the topics around Wikipedia. In 30.11.2013 they published a large study about the quality of Finnish Wikipedia (14 stories including background and follow-ups) After that their active reporting has continued and they have published in 2014 15 different stories which topics have been about the Wikipedia or Wikimedia. 5 of those were about the police inquiry of fundraising and 10 was from different topics. Mostly news were about topics like most read of Finnish Wikipedia in 2013, Tieteen Termipankki, editor retention and Wikipedia Voice Intro Project. Generally, attitude of Helsingin Sanomat has been rather positive or curious.
  • Except police inquiry of fundraising or news by Helsingin Sanomat, most news coverage of Wikimedia/Wikipedia have been copy paste journalism where global news are blindly translated to Finnish. (w:fi:wikipedia:medianäkyvyys)
  • Most important news about the Wikimedia was the finnish police inquiry of the WMF's fundraising in February. The larger context in the news was legal problems in crowdfunding in general and change of law because of that. (w:fi:Wikipedia:Poliisihallituksen lausuntopyyntö 2014)
  • News sites are commonly using photos with credits pointing to Wikimedia Commons. That includes in example large news sites like Yle (Finnish Broadcasting Company) or Iltasanomat. [1]. [2]
  • The scientific "Tiedettä Wikipediaan -Hands-on" -workshop and Lisa Sounio-Ahtisaari "Wikitalkoot" -workshop were covered in the news.
  • From June 2014 to October 2014 there were 19 stories about Wikipedia in the Finnish newspapers. 6 of the stories were short writings about the vandalism and accuracy of Wikipedia. For example there were stories about congress-edits and RUGovEdits twitter bots. 4 of the news items were about monkey selfie, two about the Wikipedia statue in the Poland and two about the right to be forgotten. Rest of the news were pretty positive random news like why some famous people are remembered or how 8.5% articles in Wikipedia are made by a bot operated by Sverker Johansson. (w:fi:wikipedia:medianäkyvyys)
  • From 16. October 2014 to 31. December 2014 there were 6 articles about Wikipedia. One about Wikimedia Finland's Tuo kulttuuri Wikipediaan event in Yle's website, Sue Gardner's interview at Slush, multiple articles in different news sites about how Russia will create their own Wikipedia, Yle's top 14 list of totally scary topics in Wikipedia (eg Horror Wikipedia). In December there was an interview in Tamperelainen about a couchsurfer wikipedian who was traveling in Finland. Both Yle and Helsingin Sanomat also commonly referred to Wikipedia in their articles. Referring was like "... based on Wikipedia...". Yle also used pictures from Wikipedia.

Activities Wikimaps Nordic

edit

Wikimaps is a project to create crowdsourcing tools to work with historical maps and location with maps in Wikimedia Commons. The activities have been funded through the Wikimaps Nordic project. 50% of the project funding for Wikimaps Nordic comes from the Nordic Culture Fund, 25% from PEG and another 25% from other sources. The part funded by the Nordic Culture Fund will continue until the end of June 2015 to allow more time for development.

The development has been interrupted until the GAC makes it's decisions of how to support the work of WMFI and Wikimaps. The Wikimaps Nordic project has funds to finalize the work before the end of June, which means the project period has been extended by 6 months.

Further work will depend on the development of structured data on Commons. We will seek development models that are less dependent on the MediaWiki environment. We hope to contribute to the requirements of metadata and API functionality.

  • WP1 code refactoring, OHM.
  • WP2 Warper UI redevelopment, Tim Waters. WP1 billed, WP2 in preparation.
  • WP3 User interface front end development. Jeph Paul / Ari Häyrinen: Control point interface JavaScript development. WP3 will also require site building.
  • WP4 User interface design, Susanna Ånäs
  • WP5 Upload tools for Commons, Ari Häyrinen.

DEVELOPMENT

edit
  • The Template:Map has been released. It is included in the GLAM-Wiki Toolset for mass uploads of maps.
  • The Wikimaps Warper accepts OAuth login with credentials from Wikimedia Commons, GitHub and OpenStreetMap. Read the blog post by Tim Waters.
  • The Wikimaps Warper now includes OpenHistoricalMap. The user is transferred from the warper to OHM with a single click.
  • FOSS OPW internship was completed. Read the weekly reports of Jaime Lyn Schatz.
  • The design of the Warper control point interface can be viewed in the design docement.
  • Front end development has been delayed. The work has now started, but we will need to reinforce the team with a site builder.
FOSS OPW

Wikimaps teamed up with OpenHistoricalMap to host a summer intern. Jaime Lyn Schatz joined the project in creating a time slider in the OpenHistoricalMap site.

The FOSS OPW / OHM project was to add a time slider and modify the current rendering stack of OpenStreetMap to handle time periods and dates properly. An intern was recruited and supervised by Rob Warren through the Gnome Open Source Outreach for Women program. While the code required was written by the intern, it has yet to be installed on the OHM machine.

Wikimedia Hackathon

The Map template was finally published and added to the GWToolset. The work was mainly conducted by André Costa / WMSE. There were attempts to include templates in the Upload Wizard, but further work has shown it will be better to combine the work with the deployment of structured data in the Commons. Susanna created layouts for map locator maps to be included in the map template on the file page in the Commons.

Lessons learned

edit

What lessons were learned that may help others succeed in similar projects? Consider the following questions and respond with 1 - 2 paragraphs.

What went well?
WMFI has been recognized as a key partner among Finnish GLAMs for opening up their collections and activities to the public. In our survey among the editathon series participants we asked whether the institutions are willing to continue work and try out different types of activities, and the answer was very positive.
What did not go well?
Things take time. It is important to set expectations promptly to avoid negative feedback.
What would you do differently if you planned a similar project?
I am happy that we have had such great Trustees and staffers who have believed in a shared vision. Taking risks by crossing boundaries is not easy, but I am happy we have had the courage to try that with the maps work. It's not really answering the question! For future Wikimedia projects we seek to follow standardized practices more.

Project goal and measures of success

edit

This section should reference the project goals and measures of success described in the approved grant submission. See Grants:PEG/WM FI/WMFI 2014 to review the goals and metrics listed in the approved submission.

Project goal

edit
Provide the project goal here.
2014 is a major milestone in establishing regular activities within Wikimedia Finland. The project manager to be hired will run the Wikimaps project, but can also be at the disposal of the association. The GLAM technician is either one hired person or several assigments. The person will assist the Wikimaps project in Finland, as well as work with all content donations and other projects needing technical assistance.
The funding proposal additionally covers advocacy work for the Wikimaps initiative in 2013. We request support for the travel expenses caused by it. The proposal also includes a one-month full-time working period in December 2013 for preparing the Wikimaps Nordic activities of 2014.
Wikimaps is an initiative by Wikimedia Finland to gather old maps in Wikimedia Commons, place them in world coordinates with the help of Wikimedia volunteers and start using them in different ways.
The project brings together and further develops tools for the discovery of old maps and information about places.
Wikimaps Nordic will focus on Nordic collaboration with memory organizations, aiding them to open their cultural heritage treasures for further reuse, and providing an environment for developing reuse possibilities with other Nordic actors of cultural heritage.
Did you achieve your project goal? How do you know your goal was achieved? Please answer in 1 - 2 paragraphs.
Work in GLAM was successful. We had not set goals for the advocacy work, and that is where the greatest successes are. We must address this in the future. The amount of events was met and they attracted a good number of participants. We skipped several projects, such as Wiki Loves Maps and a Wikidata workshop. Both of those lead to working hours being unused by assistants. We did not have the capacity of contributing to the projects due to lack of expertise. We have now grown that expertise and we are happy to be able to continue work with the assistants, who will be able to continue learning, developing and disseminating their knowledge to the volunteer community and others.
We have set up many basic structures for the association to operate. We spend a lot of energy in learning, finding and negotiating the best practices for the association's work and disseminating that to new Board members. We hope the practices will become more familiar and will not need so much attention to free time for project work.
We have developed upload tools to be used in GLAM partnerships to refine metadata before the actual upload process. This will be very much needed, since there is no lively Commons community in Finland that we could rely on in batch uploads. We do need local capacity in addition to the international community. We prepare for long term capacity, not one-off upload requests with the international community's help. Our upload figures are still low, and we will grow that following the growth in capacity.

Measures of success

edit
Target outcome Achieved outcome Explanation
Securing permanent activities. Providing a roadmap for future growth. Stabilizing the activities of WMFI is progressing more slowly than anticipated. The roadmap is being drafted in Finnish.
Increase in membership, especially expert members such as teachers and museum professionals who can advocate open knowledge to colleagues, help organize projects and events relevant to their field and help in evaluating article quality. A general increase of 15%. We aim to recruit active expert members in every institution with which we organize an event. There has not been an increase in membership. We gave up membership fee and will focus on broadening the member base next year.
Increase in activities, especially in the field of education. Creating an educational program with the new board, with possible additional funding. The EDU activities will emerge gradually. We proceed with the GLAM edge and will gain EDU partners as a side product.
Presence at 2 fairs. Guidelines for the use of open resources in education. 2 fairs Wikimedia Suomi participated in the Interactive Technology in Education conference with an exhibitor space and Avoin Suomi 2014 / Open Finland 2014 fair, organized by the Prime Minister's Office
Participating in Open Knowledge Finland Open Education working group. Participation in The Open Knowledge Finland Open Education working group started.
Increase in partner projects, especially in the GLAM sector. Tuo kulttuuri Wikipediaan editathon series was a success. Wikimaps is also gathering a lot of attention from Nordic GLAMs, and also worldwide.
Estimated 5 edit-a-thons 7 arranged Tuo kulttuuri Wikipediaan editathon series has 6 events + 1 editathon at Rupriikki Media Museum. Altogether 7
3 workshops 4 arranged, 1 planned Workhops have been arranged for content uploads and Wikipedia editing for GLAMs.
3 content donations 1 done, more than 10 planned Images from the AvoinGLAM MasterClass, the editathon series and Wikimaps partnerships will take place in 2015 when the workflow with GWToolset is in place. The process is pending but will result in numerous uploads.
5 meetups 2 2 arranged, one in Spring, one at Rupriikki
Establishing, but not necessarily realizing a wikipedian-in-residence program. Planned for 2015 No resources are reserved, GLAMs are interested.
Taking part in Wiki Loves Monuments 2014. This did not happen No resources were reserved, no plans for participation. We are expecting to work on the datasets involved in WLM.
Carrying out a program for an open and welcoming Wikipedia: From deletions to discussion and growth. Documentation and best practices. <3 project postponed. The General Assembly cancelled the project.
Wikimaps
Strengthen collaboration between Nordic Wikimedia chapters. To be expressed as plans for common activities. See meeting minutes from Nordic Wikimedia meeting in Oslo in December 2013. See plans for Wikimaps Nordic 2014. There are more and more opportunities for collaboration, but cross-chapter work has proven tough. There are goals that each chapter is busy fulfilling, and collaboration needs allocated resources and planning ahead. The Fenno Ugric projects were not picked up by anyone in WMFI, even though there were available resources.
Create methods to systematically release cartographic materials to Wikimedia Commons. The release of documentation about best practices. No detailed documentaion yet, but the practices are well under way. Will continue in 2015 and be reported at the time of completion of the Wikimaps Nordic project
Create a Wikimaps project site: blog, discussion, chat. postponed The site building activities have not had an assigned person. Unless it can be created as part of the work by Wikimaps developers or WMFI assistans, we need to seek for additional resources.
Advance the tools on the Wikimaps project site and Wikimedia Commons
Create the Template:Map and have it applied to the GLAMwiki toolset. The map template has been included in the framework of the GLAM Toolset, and it has been released. The first uploads with the Map template have been carried out with and without the GLAM-WIKI Toolset.
Have an option to apply the Template:Map to uploaded single map images. Postponed We will wait with some features until structured data is deployed in the Commons.
Create a geo search for old maps in Commons. Partly halted It has proven too complex for our project to tackle search within Wikimedia. We can provide search to maps within the Warper.
Further the Wikimaps Warper through working with the UX, and integration to both the Commons and OHM. The integration has been done, the UX remain to be done We have had delay with the UI development, and will use the extended period for this.
Create and foster a lively cartographic content & developer community in the crossover area between Wikimedia and OpenStreetMap, both internationally and in the Nordic region. Providing numerical proof of the networks. Facebook group

  • Second emerging theme is historical aerial images that may become a future project
  • We are interested in the idea of a historical street view that combines work from Finland, Sweden and Estonia
Provide an overall assessment of how your project went according to these measures.
We have met the criteria we have set ourselves and consider the work an enormous success. Figures might not be comparable to other countries or communities, we can only reflect against where we come from. We expect to see more practical outcomes from the Nordic collaboration with maps be realized in the future. We want to continue with projects that tap into location in our "here", in Finland and the Nordic region, and we hope to empower equal processes anywhere in the world. We are interested in being involved in those projects also directly, if the project would require that.
If you were to plan a similar project, would you measure it differently? If yes, please explain how.
We must set clearer numerical goals and measures, but we need time and concentration to identify relevant ones. We must work with the Roadmap document and identify metrics that go along with our desired outcomes.

Impact

edit

This section ties this project to Wikimedia's broader goals, and shows what the project accomplished.

What impact did this project have on WMF's mission and the strategic goals? Please answer in 1 -2 paragraphs and include specific measures of impact such as the number of readers or editors reached by a particular project, or the number of articles edited or improved.

While this should be a backward looking text, I will want to look forward, realizing that we are in the beginning of many processes. We need to internalize the questions, and set our goals based on that understanding. Reflecting our Roadmap document, we shall set baselines for various performance variables to improve.

Stabilize infrastructure

Stabilizing infrastructure takes small steps in our case. We have grown our activities vigorously, and the perception of the chapter is very varied. In some cases we do outstanding work, in some other areas we may lag behind in general development. Allowing permanent staff and space would lead to sustainable development and would allow us to create fruitful partnerships regionally and worldwide.

Our staff has changed from 2013: 0,125 FTE Project Manager to 2014: 0,5 FTE Project Manager and 0,25 FTE Assistant/coordinator and to 2015: 0,7 FTE Project Manager and 0,15 Assistant/coordinator. All work has been done remotely. In 2015 we will have resources for using desk space at a shared office on a per-use basis.

Increase participation

This is the area where we must work most. We hope to be able to tie in with the dynamics of the Wikipedia community more, and invite more of the existing community members into the workings started out by the association. It's a gradual process and we try out different methods. The events are already attracting many community members, and a new Facebook group helps also.

We have a desire to work with people engaging with many types of knowledge gathering and tap into their interests and processes. We seek acceptance to the idea of working with mixing various open projects to attract wider audiences. In our Roadmap document we outline many other more established methods. We shall set goals for the representation of different groups and work towards that, while not forcing the community to change from the outside.

The number of members has not grown as expected, and we have left out the membership fee altogether. One reason may also be that the nature of the association has changed dramatically with new kind of activities addressing new people who participate but don't become members. It takes time to fuse the groups together. In the current Board of Trustees, we have 8 members, who are all long standing wikipedians, whereas last year we had more GLAM representation. Both have their advantages.

We will chart the baselines for editors, edits and participation for future strategic work.

Improve quality

We would especially want to strengthen our capabilities with data (Wikidata) and media (Wikimedia Commons). We have much interest in making media uploads better and creating methods to enrich data inside Wikimedia and in connection with data outside. We work with upload tools that help sort out metadata in GLAM uploads. We are interested in joining initiatives, where Wikimedia data is linked to other data sources through crowdsourcing.

The number of articles in Finnish Wikipedia has grown very moderately, and we want to grow capacity to tackle that. We want to grow the number of active Wikidatans and activities around that, as well as Commons skills. We hope to engage more developers in Wikimedia development activities.

Increase reach

We have started out to partner with memory institutions and still plan to cover educational partnerships, though that work has not been as substantial. We have created 7 public facing editathons, held 4 workshops to memory organizations and arranged 2 seminars with the maps topic. In the Tuo Kulttuuri Wikipediaan more than 70 people were introduced to working with Wikimedia.

The Wikimaps project has reached a high level of recognition internationally. The project needs to continuously check it's scope to be aligned with other open projects.

Encourage innovation

We want to keep a forward looking approach and propose new ways of working in the future as well. The Wikimaps project and the Commons upload tools will eventually produce a lot of value, even though it cannot be calculated well yet.
