Part 1: Understanding your work

edit

1. Did your event have any impact that you did not expect, positive or negative?

The Wiki Women Camp (WWC*) proved to be a resounding success, exceeding initial expectations and generating impactful outcomes across multiple areas. Learning through Proactive Engagement: Our decision to engage cohorts well in advance of the event proved to be a valuable learning initiative. This preparatory work ensured focused discussions during the camp, allowing us to optimise the schedule. Rather than revisiting foundational topics related to movement strategy and gender bridging initiatives, we were able to delve deeper into these areas, maximising participant engagement. Solidarity and Inclusion: A heartening and unexpected outcome centred on the strong sense of solidarity among participants. This spirit of collaboration culminated in a transformative discussion around inclusivity within the Wikimedia ecosystem. As a direct result, the event name was thoughtfully changed from Wiki Women Camp to Wiki Women* Camp, signifying a commitment to fostering a more inclusive environment for all underrepresented contributors. Collaboration for Concrete Outcomes: While lively discussions and insightful perspectives were anticipated, the camp fostered a truly collaborative environment that surpassed expectations. Participants actively worked together, leading directly to the creation of a concrete set of recommendations aimed at advancing gender equity within the movement. Steering Committee: A Catalyst for Change: The formation of a dedicated steering committee emerged as a positive development. This dedicated group will provide leadership and ensure continuous action on the recommendations, transforming plans into lasting change for the Wikimedia movement. Synergy through Strategic Planning: Mapping existing initiatives in advance proved to be a valuable tool in designing a focused and strategic engagement plan for the coming year. This proactive approach optimises impact, avoids duplication of efforts, and demonstrates a commitment to maximising the effectiveness of our future endeavors. Collaborative Summit Design: Beyond initial conceptualizations, the collaborative design of the WikiWomen Summit emerged as a key outcome of the camp. By strategically mapping current scenarios, data, and assessed needs, we are better positioned to design a summit that comprehensively addresses the specific needs and aspirations of women within the movement. Organiser impact: While this is an expected outcome of all conferences (to have Wikimedians energised and step forward to take responsibility for the next steps) what surprised us was the scale. We were expecting expressions of interest for WWC* but instead received proposals for steering committee and a complete reimagination of the nature of the WWC* core team. There is a document outlining the next steps in this regard ( link). Partnerships Impact: The Wiki Women Camp (WWC) benefited tremendously from a strategic network of diverse partners, significantly amplifying its reach and impact. This collaborative effort fostered a dynamic and enriching environment for participants. Tech Industry Leaders Joining Forces: We were fortunate to have the support of tech giants like Google and their Women Techmakers program. Their contribution to the "I Am Remarkable" workshop empowered participants with valuable self-promotion skills. Additionally, Pragati from Meta provided invaluable insights, aligning perfectly with the camp's mission to foster technological advancement for women. Academic Excellence and Advocacy: Educational institutions, such as the International Institute of Information Technology Hyderabad, brought academic rigour to the discussions, creating a stimulating learning environment. Collaboration with NGOs and nonprofits championing women's causes, including FICCI-ILIA, Naz Foundation, and AnitaB.org India, provided a comprehensive understanding of women's issues, empowerment, and advocacy. Solid Foundation and Amplified Communication: Legal expertise from the Software Freedom Law Center ensured a strong foundation for the camp's initiatives. Media support from India Today Group enhanced communication and facilitated key participant interviews, further amplifying the event's impact. Entrepreneurship and Beyond: Startups and incubators like Sheroes and Women Who Code Delhi brought valuable entrepreneurial perspectives to the forefront, fostering stimulating discussions on innovation and leadership. Global Collaboration and Cultural Enrichment: Partnerships with Wikimedia Turkiye, Commons Photographers User Group, and Indic Mediawiki Developers User Group expanded the camp's global reach. Collaboration with Sahapedia offered enriching insights into Indian culture and history. These collective efforts promoted knowledge exchange and collaboration on future Wikimedia projects. One unforeseen challenge emerged from the Latin America (LATAM) region. Due to factors that were completely out of our control, we could not have a balanced representation on WWC from LATAM. This, unfortunately, led to criticism (non-personal in nature) regarding the perceived lack of a strong organising team and a rigid approach. A lengthy discussion ensued online (link) where we openly addressed the difficulties encountered and our efforts to overcome them. We acknowledge that the absence of a strong LATAM presence could have resulted in a narrower range of viewpoints during discussions, potentially limiting the depth of conversation, diversity of ideas, and networking opportunities. We are committed to learning from this experience and taking steps to be more proactive and engaging with the LATAM community in future endeavours. The Wiki Women Camp served as a catalyst for positive change, fostering a spirit of collaboration and generating impactful initiatives that will shape the future of gender equity within the Wikimedia movement.

2. What do you think will be the long term impact of this conference?

The long-term impact of WWC* is anticipated to be transformative, registering positive changes in several key areas. The WWC* team envisions lasting effects in the following five domains: Greater inclusivity: WWC* set out with a primary goal of fostering the inclusion of women contributors. Recognizing the importance of a more expansive approach to inclusivity, the event evolved into WWC*. This broader vision aims to not only include women but also emphasises a greater focus on inclusivity overall. The expected result is an increased participation of women and LGBTQ+ community members, both within the Wikimedia movement and in the broader Movement Strategy process. Increased Participation: A key long-term impact expected is the increased involvement of women and LGBTQ+ community members in both the Wikimedia movement and the Movement Strategy process. By cultivating an inclusive environment and addressing specific community needs, WWC* aims to contribute to a more diverse and participatory landscape within these realms. Content Curation and Addition/Fostering Collaboration and Idea Exchange: While WWC* did not directly engage in content creation, it facilitated a platform for meaningful idea exchange and collaboration. The envisioned long-term impact is the continuation of this collaborative spirit, with participants taking forward project ideas and finding collaborators within and beyond the Wikimedia ecosystem. This ongoing collaboration is expected to contribute to the enrichment and expansion of content, fostering a dynamic and innovative community. Creating a Support (Care) Network: Beyond the immediate impact, the Wiki Women Camp* aspires to establish a robust and enduring support network. The emphasis on greater inclusivity and increased participation of women and LGBTQ+ community members is foundational to this vision. By fostering an environment that transcends traditional boundaries, WWC* seeks to nurture connections that extend beyond the confines of the conference. The aim is to cultivate a support network where individuals, united by a common commitment to inclusivity, can collaborate, share resources, and provide mentorship. This network is envisioned as a lasting framework that will persist well beyond the conference, facilitating ongoing support, idea exchange, and collaboration within the Wikimedia movement and the broader Movement Strategy process. The creation of such a support network aligns with the overarching goal of sustaining a vibrant, diverse, and interconnected community dedicated to advancing the mission of WWC*. Wiki Women* Steering Committee: As the driving force behind WWC* initiatives, the steering committee emerges as an essential component facilitating the organic growth of the community. Comprising a gender/diversity expert, a coordinator, a community representative, a communication lead, a global representative, a community facilitator, and an adviser, the committee is entrusted with several key deliverables: Establishment of Guidelines and Policies: The committee's foremost responsibility is the formulation of guidelines and policies that champion inclusivity, diversity, and gender equality within the Wikimedia community, tailored to address the unique needs of the community. Formulation of a Two-Year Engagement Plan: A critical task is the development of a comprehensive two-year engagement plan, outlining strategic initiatives and activities to be undertaken by the committee. This plan serves as a roadmap for the community's growth and involvement. Implementation of Outreach Activities (2024-2030 at Least): The committee is charged with executing a range of outreach activities spanning workshops, training sessions, mentorship programs, and campaigns. This long-term commitment (2024-2030) underscores the sustained efforts to foster community engagement and empowerment. Establishment of Monitoring and Evaluation Mechanisms (2024-2030 at Least): To ensure the initiative's effectiveness and impact, the committee will institute robust monitoring and evaluation mechanisms. This continuous assessment framework, spanning from 2024 to 2030 at least, aims to track progress, assess impact, and make necessary adjustments for ongoing improvement. Demystifying Movement Governance: The lasting impact of WikiWomen Camp 2023 extends beyond its immediate conclusion, as it becomes a catalyst for illuminating the intricacies of movement governance within the Wikimedia movement. The camp's commitment to fostering transparency, inclusivity, and active participation has translated into a sustained engagement in global conversations. The declaration released by WikiWomen continues to fuel meaningful dialogues and spearhead global change initiatives. A pivotal outcome of this collective effort is the establishment of the WikiWomen Steering Committee, positioned as a central governing body. This committee is poised to provide strategic support, steering the continuous advancement of WikiWomen. Its formation stands as a testament to our unwavering commitment to transparency, inclusivity, and purposeful action, propelling the Wikimedia movement forward.

3. Would you say that your work improved participants’ ability to apply new skills and knowledge?

Yes

3a. If yes, please describe how and why you think this was successful. Please describe why you think this is the case.

Envisioning Growth: Recognizing the evolving needs of the movement and strategic advancements, the Wiki Women Camp (WWC*) adopted a renewed focus under the theme "Map Up, Rise Up." This theme reflects a commitment to analysing the current landscape and charting a course for future growth. Targeted Approach: To maximise effectiveness, WWC* implemented a two-cohort program. The Strategic Cohort focused on analysing gender disparities within the movement and developing long-term plans for women's engagement. The Capacity Cohort aimed to equip participants with the skills and resources to translate these strategies into actionable initiatives. This structure ensured a focused and results-oriented approach. Engaging with Partners: WWC* recognized the value of collaboration and extended its program beyond discussions solely within the Wikimedia movement. The inclusion of diverse initiatives dedicated to bridging the gender gap and empowering women offered participants a broader perspective on impactful efforts. Pioneering a Regional Event: WWC* marked a significant milestone as the first international event of its kind in the region. By opting for a collaborative model with partner institutions and logistics/hospitality partners, the organising team was able to prioritise program design, learning components, and course corrections. This collaboration alleviated pressure and ensured the event's success. Virtual Ally: Eesha: Eesha, a digital mascot with a dedicated Telegram identity (@Eesha_wwc), served as a trusted and informative guide for participants. Eesha provided 24/7 support, including important announcements, updates, and logistical assistance. This innovative approach facilitated the smooth arrival and departure of participants and ensured their comfort throughout the camp. By addressing logistical concerns, Eesha helped to create a relaxed environment where participants could fully engage in the program. Regional Engagement: The expertise of CIS A2K played a pivotal role in cultivating regional engagement and addressing gender disparities. Their guidance and support were instrumental in managing regional engagement, onboarding participants and the broader women's community, and facilitating sessions that significantly contributed to the overall success of the camp. Building an Inclusive Environment: In collaboration with the WMF DE&I Team, a comprehensive Statement of Inclusion was drafted and shared with all event participants. This statement outlined the commitment to fostering a respectful and inclusive space for everyone. Fostering Gender Sensitivity: Recognizing the importance of sensitive and informed discussions, a Gender Sensitivity training program was designed with WMF staff before the camp. This training was initially intended for the Camp Organizing Team (COT) to equip them with the necessary skills to handle gender-related conversations effectively. Given the positive impact and vital nature of this training, it was subsequently extended to all participants prior to the camp. Speaker Training: To ensure aligned and progressively deeper conversations throughout the camp, the chosen trainers conducted preparatory sessions with WMF staff. Topics covered in these sessions include effective communication techniques, storytelling and narrative development, engagement strategies, inclusive language and sensitivity, and handling Q&A sessions. By providing comprehensive speaker training, the Wiki Women Camp ensured that presenters were well-prepared and equipped to deliver engaging, informative, and inclusive sessions that contributed to the overall success of the event. The Wiki Women Camp* stands as a testament to the power of renewed focus, collaboration, and innovation. By implementing these strategies, WWC* laid the groundwork for positive change and empowered participants to become leaders within the Wikimedia movement.

Part 2: Your main learning

edit

8. Were there any major challenges or things you found difficult that you would like to share? What would you do differently next time?

Reflecting on the Wiki Women Camp 2023, several areas stand out as candidates for improvement in future events: 1. Strengthening Internal Processes: Enhanced Team Engagement: We acknowledge the need for more robust engagement of team members. This will involve proactive task completion, ownership and accountability. Allocating additional time for these tasks will minimise last-minute pressures. Refined Collaboration with Partner Organisations: To ensure smooth collaboration, a clearly defined working scope with well documented SOPs will be established with partner organisations. Buffer time: Additionally, extending the timeframe between scholarship confirmations and event dates will facilitate visa and travel arrangements. This will alleviate undue stress on the Camp Organizing Team (CoT) caused by tight timelines arising from grant signing delays. 2. Optimising Team Dynamics: Clearer Role Delegation: We recognize the importance of clearly defined roles and balanced workload distribution. This will ensure that all team members understand their responsibilities, fostering efficient and effective work management. Promoting Global Accountability: While embracing global diversity is a core value, establishing accountability across geographically dispersed teams can be challenging. We are committed to exploring solutions that foster a sense of ownership and responsibility within a global context. 3. Reimagining Camp Design: Exploring Inclusive Models: We will investigate successful models from communities like BarCamp and Hill Hacks to potentially extend the camp duration. This extended timeframe could allow for more inclusive and creative engagement opportunities. 4. Prioritising Communication Clarity: Addressing Linguistic Nuances: We acknowledge the potential for misunderstandings within the "same language, different understanding" scenario, particularly during movement strategy discussions. Moving forward, we will emphasise ensuring alignment in terminology, context, and engagement levels across different participants. This will prevent disruptions to the overall flow of the event and foster clear communication. These insights serve as valuable lessons for future organisers, emphasising the importance of meticulous planning, inclusive design, and effective communication to optimise the overall event experience.

9. Was there any non-financial support that the Wikimedia Foundation could have provided that would have better supported you in achieving your goals?

The WikiWomen Camp owes part of its success to the collective dedication and expertise of key contributors. Nhu's adept project management and oversight of the strategic cohort, Tila and Masana's profound insights into gender dynamics, Beverly's invaluable support in designing sessions, Yop's impactful exercises, and Rosie's strategic guidance have collectively shaped the event's depth and resonance. A special note of appreciation goes to the Brand team for their assistance in creating a central logo that unifies all aspects related to WikiWomen. Their contributions have left an indelible mark on the overall impact and effectiveness of the event. The Wikimedia Foundation (WMF) shoulders the crucial responsibility of fostering goodwill and transparent communication among all stakeholders. Organising a conference is a labour of love, albeit a stressful one, undertaken by dedicated organisers committed to serving the movement. Given the myriad responsibilities associated with conference organisation, frictions among stakeholders are inevitable. Recognizing the potential challenges, it becomes paramount for WMF to implement a strategic or interventional insurance mechanism, akin to financial insurance, to safeguard operations. Volunteers, particularly foundation members, bring specialised expertise and extensive experience within the movement. Their volunteer status enables them to stay connected to diverse perspectives and planning initiatives. In addition, staff members play a vital role in providing consistent support to ensure ongoing progress and project stability. WMF members, whether volunteers or staff, possess a nuanced understanding of inclusivity and sensitivity, allowing them to navigate decisions effectively. Strategic intervention or insurance can serve as a valuable tool to alleviate tensions, clarify challenges, and, most importantly, prevent the spread of rumours and misinformation that could be detrimental to the movement's narrative.

10. What would you recommend on a local and/or regional level as the best next step to leverage your success and momentum?

To leverage the success and momentum of WWC* on a local and/or regional level, consider the following recommendations:

Continuous Engagement: Facilitate continuous engagement by encouraging regional employees of WMF and other affiliates to connect with WWC* participants. Seek their perspectives on initiatives and events they lead, fostering an ongoing exchange of ideas and experiences. Identify Reliable Institutional Partners: Place emphasis on finding reliable institutional partners with clearly defined processes and personnel. These partners can offer valuable support in navigating process-related challenges, preventing burnout, and preserving creative energy for organisers. Leverage Local/Regional Events: Integrate Wiki Women* themes into existing local or regional conferences by adding a dedicated day or track focused on wiki women*. This approach not only encourages retention within the community but also serves as an avenue for expanding participation. Start Small and Locally Relevant: Tailor initiatives to the local context, recognizing that women's and LGBTQ+ issues must be addressed with sensitivity to regional nuances. Avoid attempting to replicate WWC* design without making context-specific changes to suit the local or regional environment. Sensitization and Awareness: Prioritise sensitization and awareness programs for all local and regional organisers. This includes training on feminist narratives and LGBTQ+ awareness to ensure a thoughtful and inclusive approach to hosting events and initiatives. By incorporating these recommendations, local and regional organisers can build on the success of WWC*, fostering sustained engagement, expanding partnerships, and ensuring that future initiatives are thoughtfully designed to address the unique needs and contexts of their respective communities.

11. Please add any 3 operational recommendations for future events organizers.

Establish Strong Partnerships: Prioritise the identification and collaboration with reliable institutional partners who can provide support in navigating challenges, ensuring smooth operations, and preventing burnout. A well-defined partnership can significantly contribute to the success and sustainability of the event. Contextualize and Sensitize: Tailor the event to the local context and sensitise organisers through training on feminist narratives and LGBTQ+ awareness. Understanding and addressing regional nuances is crucial for the success and inclusivity of the event. Avoid attempting to replicate designs without making necessary context-specific adjustments.

Promote Continuous Engagement: Foster continuous engagement by encouraging regional employees of organisations like WMF and other affiliates to connect with participants. This ongoing interaction ensures a dynamic exchange of ideas, perspectives, and experiences, contributing to the long-term success of the event.

These operational recommendations aim to enhance collaboration, cultural sensitivity, and sustained engagement, ultimately contributing to the effectiveness and impact of future events.

Part 3: Metrics

12. Open Metrics reporting

In your application, you defined some open metrics and targets (goals). You will see a table like the one below with your metric in the title and the target you set in your proposal automatically filled in.

Open Metrics Summary
Open Metrics Description Target Results Comments Methodology
Awareness of gender gap status and challenges in different communities https://meta.wikimedia.org/wiki/Grants:Conference/WikiWomenCamp_2023#Expected_Outcome/Success_Markers 40 90 From the 450 applications we received for the camp, a comprehensive data analysis of these applications identified concerns, gaps in knowledge, and expectations regarding support needs. This data analysis informed the development of the Capacity Cohort curriculum, specifically by addressing the identified challenges faced by potential participants.

Research: To inform the design of data-driven initiatives for gender gap reduction, a comprehensive research review and meta-analysis was conducted. This analysis focused on existing research within the Wikimedia movement, programs offered, and the scope of support required for effective growth. A research packet listing the reported research work was prepared and shared with participants before the camp to facilitate informed discussions. Addressing Harassment: The WWC discussions led to the initiation of efforts to build a care network to combat harassment within the movement. Enhanced Collaboration: A WWC participant, in collaboration with the WMF, created "Wiki Celebrate," a collaborative space mapping all gender-related events within the movement. Partnership with Wiki in Africa is a collaboration to design a portal for fostering regular community engagement. This portal will be used to announce the WWC declaration, future steps for global expansion of the conversation, and information regarding the formation of the steering committee.
