We understand that sometimes plans change. Please use this button to request approval for changes to your grant’s budget while your project is in progress. Any variation of 20% or more to any line item in your budget must be approved by staff here before you make the change (for projects with budgets of $15,000 or more, the accepted variance is 10%).

Budget change request

edit
  • Requesting reallocation of the remaining funds (2183.09 USD) to be used for supporting our VisibleWikiWomen Coordinator's travel expenses and time to visit a set of partners in Latin America in order to close out remaining collaborations from Seeeko and to lay the groundwork for our 2020 campaign.

Rationale

edit
  • Relationships take time to build, and face-to-face meetings really help. This is especially true and important when working with partners in the Global South, and with indigenous communities. Because we particularly aim to feature women of color and indigenous women in our campaign, and because Latin America has been a particularly successful focus for VWW this year, we intend to invest some extra effort in building partnerships with indigenous and feminist groups in Latin America. If we invest this effort in August and September, these relationships are very likely to bear more fruit (images!) for next year's campaign. We have already identified a set of partners in countries nearby to our Coordinator that would benefit from more face-to-face meetings. It would be great to use the remaining funds from this grant in order to support her time and travel to meet with the set of partners/potential partners who are ready for this next step. That would be much more useful to us at this point than sending our coordinator to present at a second conference as originally planned. Thanks for considering this request! @Seeeko: Hi Siko, and thanks for this reallocation request to shift the remaining funds from conference participation toward building additional partnerships in Latin America. That face-to-face meetings are needed to build trust and develop plans with these groups is sensible, and consistent with the project goals Whose Knowledge? has set around building partnerships across multiple countries. Based on your request, it sounds like you would like to reallocate the remaining budget toward the existing Travel and VisibleWikiWomen Coordinator budget items. If that's the case, we would just need to know how much is being reallocated to each budget item, and I'll be happy to approve it. Thanks, I JethroBT (WMF) (talk) 17:30, 18 July 2019 (UTC)
@I JethroBT (WMF): Thanks for this info! Make sense. Exactly how much goes to each of the 2 buckets will depend on how much the travel ends up costing, because as you know travel costs are always fluctuating :) Does it make more sense for us to 1) request reallocation of everything to Travel for now, and then perhaps ask to reallocate any remainder later on in a second request to the Coordinator line-item, or 2) spend the money first and then have a reallocation request approved only once our final tallies are all done? Happy to proceed either way you suggest. Thanks, Siko (talk) 18:58, 26 July 2019 (UTC)
@Seeeko: Thanks for this clarification, and I appreciate that estimating travel costs can be difficult to do in some circumstances. With the amount of funding that's left, I think just one reallocation moving all remaining funds (2183.09 USD) into travel will suffice, and any remaining funds from that can be used for the coordinator role without a reallocation request. If that works well for you and your team, please confirm below, and this reallocation request will be approved. Thanks, I JethroBT (WMF) (talk) 19:23, 26 July 2019 (UTC)
@I JethroBT (WMF): Confirmed! Yes please, that's perfect. Thank you! Siko (talk) 19:46, 26 July 2019 (UTC)
Circling back with one last update on this: ultimately all travel costs ended up being local so the coordinator has borne those costs herself and we've simply paid her for her time to do that significant work instead. Also note in our final accounting we've included bank fees from the 4 wire transfers we made to our coordinator and communications person, since those are significant charges for a small group like ours. That should wrap-up our financials now at long last, thanks! Siko (talk) 23:14, 18 October 2019 (UTC)
