Community Engagement Survey and WMF feedback

Dear @JP Béland (WMCA):, Thank you for submitting this proposal. We are happy to explore the opportunity to support you in hosting the WikiConference North America 2020.

Unfortunately I am not able to fully review or approve your proposal without you completing the survey and community input section of the proposal. As the application guide indicates, conducting a Community Engagement Survey is a core requirement for any conference grant proposal.

Although we fully acknowledge the importance of the WikiConference North America, in order to support the conference, we need to be sure there is a real need for it. The survey is one of our ways to ensure that, to understand what the community is asking to focus on, their priorities and challenges, and also, a significant part of the goals and impact assessment.

Therefore, you are currently not eligible for this proposal funding.

Yet, I would still want to share some follow up questions regarding the event budget. Generally, the proposed budget is definitely on the high end of what we are able to approve, so I would need more details on some of the line items in order to move forward.

  • Please provide a quote for the venue rent and technical support.
  • Please provide a separate breakdown for travel/ accommodation for scholarship recipients + the Lead Organizing Team travel and accommodation costs.
  • Lease share a quote or more details for the Marketing costs.
  • $3,000 USD for Miscellaneous supplies seems like a lot. Please elaborate or provide a breakdown.

For us to consider the proposal, a full community survey, analysis and a detailed budget, should be in place by February 27, 2020. Please also make sure to fully answer all parts of the proposal because we will not be able to allow more time for revision at that point. Good day CAlmog (WMF), thank for your support and advice for this grant request. We have updated it according to your advice. We have removed the space rental costs from the grant request since we will get an in-kind donation from the University of Toronto for this. However, we will need to pay for extra costs associated with this for cleanup and extra staff on Sunday morning as indicated in the revised budget. The budget is presenting travel/accommodation separately for scholarship recipients and the Lead Organizing Team. We have removed Marketing costs from the budget, and will rely mainly on free alternatives and the networks of partner associations for this. We have reduced the Miscellaneous supplies to 1,000 USD. Lastly, we have collected the results from the engagement survey that was sent to different interested groups, including the participants from the previous editions and the volunteers of Wikimedia Canada. Kevin Payravi will update the grant request with the results from the survey tonight. I hope this addresses your concerns.
