Follow-up questions on your grant application from the ESEAP Funds Committee and Programme Officer

Hope you are well. Thank you for putting in a grant application. These are consolidated inputs from the review of your grant application. The following points are for your further response:

Feedback on proposal impact potential

1) The proposal seems viable but the impact might be low for the budget requested.

2) According to the information provided by the applicant, this may be entirely a paid editing project, there doesn't seem to be a community other than the applicant/ implementation team involved in the project.

Feedback on implementation team

3) From the applicant's global account and user contributions, the applicant has more than 23k edits globally. However it is not clear if the applicant and team have past experience implementing similar projects. Could the applicant provide more context and relevant details?

Feedback on community engagement

4) They have a team of 4 members. I only see a link that assumes the community engagement is offline? 5) The applicant has provided relevant evidence, but the evidence cannot prove that the project has received support from community members

Feedback on proposed budget

6) No the proposed budget does not adequately reflect the investment needed to achieve the proposed goals. For example, there are two paid position of field coordinators, but this project only consists of 4 people with minimal tools and administration needed. Is it really needed? Not to mentioned, all 4 people will have transport, food, and per diem covered by the grant.

7) It is not clear exactly where the 32 unit cost (row 5) is from but the proposed budget looks well thought out.

Feedback on learning and evaluation

8) It is not so clear what the applicants want to learn from this project and how this project will support their experimenting or learning process.

General questions, observations, recommendations to consider

9) Applicants should avoid paid editing. It is more feasible to transform the project into a project oriented towards community building and empowerment.

10) The project team could consider consulting people about doing wikidata and mapping to sync photography with coordinates and metadata of the heritage location. Refer to https://meta.wikimedia.org/wiki/Encyclopedia_of_Philippine_Heritage

11) We would recommend that you set up a meta page to start documenting your group activities/ members/ reporting / links to previous grants etc. For example, this could be a subpage of Wikimedia Indonesia's meta page if preferred. 12) We also recommend putting up a Diff post to share your experiences post project.

13) Would the applicant consider piloting this project with a smaller budget first?

Let me answers your questions or statements
1) and 2)
We need to say that one person in our team decided to step down in this project because of her unexpected occupations. Therefore, we will do this project with adjusted budget. Besides that, we have planning for organize workshop at Bandung city about Wikimedia Commons and copyright, so the community can get involved in our project. Meanwhile, the current budget is still smaller than the first budget.

3) We have already involved in a similar project based on support form Indonesia Wikimedia, this is the link

In 2022, Hayati Mayang Arum involved in Dana Wiki activity, grants for Indonesian Wikimedia Community which name is WikiRagamJajanan. In that project, she with her peer was documented many various of traditional foods from East Java.

In 2023, Pijri and I also have implemented Dana Wiki activity, WikiWangunan. In that project, we was created articles in Sundanese Wikipedia about historical building in Bandung, and then completed items in Wikidata. After running that project, we realized that many building (include cultural heritage) in East Java not yet documented in Wikimedia Commons.
5) I was explained at the point number 1 about community involvement. We hope this project can have an impact for people in Bandung city, and also for increase their awareness about copyright.
6) and 7) We was adjusted the first budget, so we will do this project with the smaller funds. Please read it again, so you can review the difference between our first budget in tab Applications and current budget in tab Updated Applications.

8) Through this project, we want to know level public awareness about copyrights, so they can’t download and then used many available pictures on the internet without well understand about its copyrights. And also, we want to know deeply about Sumedang residence as a historical area in East Java.

Note on grant funding amount

In your award letter/email, you may observe that the USD equivalent may be different from that floating exchange rate on Oanda. This is because (at the moment) we apply a pre-determined exchange rate for each grant as determined by the WMF Finance team. That said, I've published on meta the approved amount in your local currency and we can use that as a common reference point.


We know even the best thought through plans may change.

In the event that there are changes to your implementation schedule, you can reach out to request for a grant extension (i.e. extend end date). Similarly, if there is a surplus budget or changes to your planned budget, you can reach out to me about reallocation (via email and on this talkpage). Let me introduce my peers, @Hayati Mayang Arum @Pijri Paijar
A few days ago, we was contacted grant administrator in the matter of reschedule our project, but until now, we have not received a response. We understand, maybe she/he is busy.
We was planned our project which start from June 5, 2024 but we just received the information about approval of our proposal on May 30, it doesn't matter. Budget changes - approved

We need to contribute to the society by holding workshop which involving old and new editors. They will be invited to a photowalk event for documenting cultural heritage buildings which will be uploaded via Wikimedia Commons. For this purpose, we want to appreciate and engaged with them. Meanwhile, we missed out budget for souvenirs.

Therefore, could we use unexpected fee as a budget for souvenirs? We ensure that the souvenirs budget won’t exceed unexpected fee.

Request for extension timeline project

Through this discussion page, we would like to report that we have finished working on our project. We also would like to report the amount of budget that has been used in rupiahs Rp36,988,418 (equal to $2,445.54). Therefore, we have remaining funds in the amount of Rp12.821.582.

As we already know that cultural heritage divided into buildings, sites, and structures. In the our previous activities, we just documenting cultural heritage buildings. Our next plain is documenting sites and structures cultural heritage in Bandung city and Sumedang regency. In Bandung city, we have three days, there are 72 sites and structures that will be documented; while in Sumedang regency, we have 2 days, there are 12 sites and structures that will be documented. The roads are more winding in Sumedang than in Bandung.
