Request for extension and proposed revision of grant
editHello DSaroyan (WMF)
Proposed extension period
editDue to the COVID-19 pandemic, our two 2020 onsite events were postponed. With current restrictions still in place in Canada, we request the permission to extend our grant for the 2021 year.
We are looking at a similar calendar as for the original 2020 events: one in March and one in November. All grant funds will be used by December 1, 2021.
Description of new planned activities for 2021
editThe new planned activities include two online edit-a-thons. The first one to happen in March and a second one at the latest in November.
For our online activities, we will be using a professional Zoom account. This account allows us to have up to 100 participants. Beginner training in English and in French will happen in breakout rooms. The main Zoom room will be used as a general open participation space. Editors are invited to keep their cameras open when possible in order to foster a group dynamic. The open participation room is also used as a peer to peer learning space where participants can discuss specific topics and ask and answer questions during the open editing period.
The two-hour contribution period will still be followed by an online public discussion forums as planned in the original demand. Participants will have the opportunity to engage with invited guests and speakers, including local artists, writers and specialists involved in digital initiatives and the representation of women, BIPOC, and LGBTQ2S+ identified in the arts.
Artexte will be collaborating with an additional partner for the 2021 events, the Montreal Museum of Fine Arts Education Division.
Outreach for an online event is more challenging than with an onsite event. We are planning a more complex communication strategy that will involve publicity ads specifically targeting the artistic community.
For publicity our objective is to reach new editors locally, nationally and even internationally. In addition to our internal communication efforts, we will be using the Akimbo service. Akimbo is a Toronto-based company that promotes contemporary visual art, video, new media and film locally, nationally and internationally via the internet, mobile and social media. They offer a communication potential to 10,750 opt-in email subscribers (38% open rate), 175,000 unique website visitors per month and 33,000 social media followers.
Publicity costs would include: -March event : Akimbit service package (150$ CAD) + Trio share social media package (110 $ CAD) = 260$ CAD or 204$ USD -November event : Akimbit service package (150$ CAD) + Trio share social media package (110 $ CAD) = 260$ CAD or 204$ USD
Updated budget
edit- Publicity = 400 $ USD (200$ x 2 events)
- Pre-event mail-out for participants printing and supply fees = 48$ USD (0.48 $ per package, 50 packages per event)
- Pre-event mail-out for participants postage fees = 152$ USD ( 1.52 $ USD per envelope for postage of envelopes up to 100 grams Canada Post standard fee 1.94 CAD)
- Low-cost stickers for participants = 100$
- Gift card for contest winners for their contribution = 100$ (one 50$ gift card for each event)
- Unforeseen expenses = 80$ (10%)
Total amount requested : 880 $ USD
