Request to use remaining funds
The New Zealand Fashion Museum requests to use the remaining funds - $50.92 NZD to put towards a Wikipedia edit-a-thon which will take place in September 2018, and align with a fashion exhibition that celebrates the 125 year anniversary of women's suffrage in New Zealand. Ministry for Heritage and Culture info This would fit nicely with the ambitions of the [[Women in Red]] wikipedia project as we would be adding and contributing information on significant women in New Zealand.
The budget will be:
- Venue hire = $158
- Food and drink (at $10 per person) = $200
- Speaker fee = $150
Total = $ 508 NZD
Start Date 1 September 2018 - 31 October 2018 (exact date tbc)

Thank you for submitting this report, and for all your work on the project! I have a couple of questions for you before approving your report and closing out your grant. I’m just hoping for a little more feedback about how things went.
It’s great to hear that your editathon was a success from your perspective.
- Could you say more about what you liked about how the event went? Oftentimes, there are surprising reasons that events are impactful or meaningful, and they are not always quantifiable.
- In terms of the metrics you set for your event, it looks like things didn’t go as you expected, with less than one half of the total participants, around one quarter of the new participants, and a little more than one third of the number of articles created or improved compared to the targets you set in your proposal. Do you have thoughts about the discrepancy? It’s a good idea to choose targets that are a little bit of a stretch, so there is a challenge, and sometimes it’s hard to predict what will be feasible. Ideally, though, we’d like to see your targets and your outcomes get closer together. So, in your next proposal, you might want to set your targets a little bit lower in light of the outcomes for this event, or else really consider what it would take to get the numbers up.
- You mentioned that next time you would advertise the event to a wider circle and encourage new and experienced editors to join, even remotely. This is a good idea. Can you say more about how you advertised for this event and what you would do differently next time?
I wanted to note that Auckland Central Library does sound like a strong partner. It’s supportive that the librarians were proactive about retrieving sources for you prior to the event. Glad to hear that you plan to follow up with them about further partnership!
The expense documentation you've submitted has been accepted. You’ve proposed above to use the leftover $50.92 NZD towards a Wikipedia edit-a-thon in September 2018, aligning with a fashion exhibition that celebrates the 125 year anniversary of women's suffrage in New Zealand. This sounds like a very useful extension of the work you have begun with this editathon, and I’m happy to approve this use of your remaining funds. Just to clarify it sounds like you will need additional funds for the event in September. If that's the case you will need to submit a separate grant proposal for consideration. The application deadline for this month is September 15th.

Thanks for your feedback. We are happy to answer your questions and provide further feedback for you.
- 1. What we enjoyed was the overall collegial atmosphere on the day. It was a relaxed environment and while the numbers were few, everyone was genuinely engaged and happy to be learning and sharing new information. The Library offering of a tour of the special collections was really well received, but it did cut into our editing time.
- 2. I think it's fair to say that our original targets were a tad high as it was our first event and we weren't really sure what kind of turnout we'd get. We had anticipated that there might be more drop ins because of the public library venue. We also felt that asking people to make pages from scratch was a factor in our lower rate, some people were too timid to post their work and we also ran out of time on the dashboard so this missed some of the data. In light of this, we have lowered our targets for our next event, set easier pages and tasks to work on and will be doing a very short photo walk which will culminate in images being added to Wikimedia. We are hopeful our next event has a higher turnout with a higher run of pages added to and developed.
- 3. The Library advertised the event for us and we also ran a Facebook promotion on the New Zealand Fashion Museum page. This time we are advertising to fashion students at the nearby universities, GLAM folk and Mike Dickison's (New Zealand Wikipedian in Residence) network of new and experienced Wikipedia editors in Auckland. We will also promote it online and ask people to join in remotely.
Thank you for confirming the use of the leftover funds. We have already submitted a rapid grant in August. Did you receive this? We have revised the numbers based on your feedback.

I wanted to note that we had not previously detected your new proposal until now, as the listed status did not automatically populate on the review page. I have since changed it so that it is on our Rapid Grants team's radar. If approved, the underspent 50.92 NZD here would be deducted from that grant submission, and we can close out this grant.
