- In your budget I see a line item for equipment and wifi. Unfortunately, we don't allow equipment purchase for individual grant requests. Could you perhaps rent the equipment, specifically the laptop? If so, please adjust the budget and I can approve the request.

I wouldn't know where to rent a laptop for a week... Last time volunteers used theirs. We were just hoping we could have a spare one that we could later reuse in similar events, just in case. This is an individual request because it is easier to manage than going through the university's bureaucracy. In practice, the equipment would stay at the university, as happened with the voltage converters, extensions and wifi repeater we got last time. But we can omit the laptop from the budget, no problem.
Would it be ok if we do buy the portable wifi? We need to buy device and then rent the wifi service (no contract needed; we can buy just enough for the event).
If we get rid of the laptop, our budget is under 500 USD... We can give participants nicer food, and I am sure volunteers would appreciate if we got some extra gift cards, if these are acceptable options to request the minimum budget of 500 USD. Would this be ok?

Budget Change

I excluded the laptop from the budget but left the portable wifi device. I increased the budget for food and book gift cards for volunteers, so we can ask for the minimum of 500 USD. I hope this is ok! We need confirmation of the status of this grant, so we can make the corresponding purchases. I have paid from my pocket some of them already, as we have started the event already (participants exceeded my expectations, so I'm quite happy about it). Tomorrow we have the final 'big' event.

Hello again,
We had the editathons (four of them!, three face-to-face and one online), the trainings, and the talks about openness and Wikipedia. We had more people than we expected. I bought food, drinks, plates, napkins, glasses and so on for the different sessions (hopefully I can get reimbursed). I edited the budget to make it more accurate. I still have one more purchase to make for a wrap-up session with organisers on Monday. If this proposal is accepted, we would like to buy the portable wifi device and some miscellaneous supplies (less than 20 USD), and use them for the next (smaller) editathon, which will take place next semester. I can personally pay for the wifi service (you first get the device and then add credit so it works).
We went creative with other things. For example, we used stickers left over from our previous editathon to give the event a sense of identity (the stickers said "1st editathon"; we cut off the "1st"). Mensa Mexico, a non-profit organisation, donated some books for participants (sadly, most of them were in English, so they weren't too popular). If possible, we would like to get the book gift cards we requested in the budget. It would be a nice thing for exceptional volunteers.
