Grants talk:Project/Rodrigo Tetsuo Argenton/Digitalisation of the Geoscience Museum

Observation: this grant is the combination of two. As the rules changed from quarterly to only two evaluations, the "renovation" request will now have to be made just two months after the project started, or one year after with a 6 months in a halt. This would delay other projects severally, closing some windows to us.

The idea was to divide in two blocks, the first one that could be register without specialized equipment, and the second, with this special needs. You can see this division in the activity section. For that reason, the amount of equipment request are extensive, and expensive, specialized equipment, as macro lens (and camera that suits it), panoramic heads, have a high value... for being specialized; without this, this grant would cost in total around 15'000 USD.

That said, all this equipment will be used extensively in others GLAMs projects, none of this equipment will be underused, I take very seriously the accountability, we have already waiting list of partners, this is one of the reasons that we can't have 6 months between phase one and two.

Hi @R.T.Argenton: and thank you for your proposal. I am impressed by the quality of the photos from your previous ones, thus I hope this one will be a success as well. I have several questions regarding your proposal:

  • You mention The previous equipment. Is it possible to have a list of equipment your group currently has and how is it used?
  • You mention the annual grant of the WCUGBR. I could not find any annual grant of this group, only Grants:Simple/Applications/Wiki Education Brazil User Group/2017/H1 which AFAIK is a different group. Can you provide the link to the grant you mentioned please?
  • What are you plans for using this equipment later? Are you planning to run similar projects with other institutions yourself, or will you make it available for other community members?
  • A very Brazilian question: are you sure to include all taxes and duties? For instance, I notice that AirTTL 500Ws Flash Heads is 4,148 USD in case of delivery to the US, while as far as I know other grantees from Brazil had to pay duties up to 35% in Brazil.
  • I noticed that most of your equipment is high-end, like Profoto B1 500 Air Battery-Powered 2-Light Location Kit. While it is certainly a good equipment, it likely has a lot of functions you will not need, like a car charger. If you intend to use this equipment only in museums (indoor, with power supply available, ...), will you be able to achieve the same goals with cheaper equipmenbt?
  • Is it possible to know more about how will you hire and pay the project organiser? As 10 out of 12 months will be essentially dedicated to photography, will it be more appropriate to hire a photographer? My research showed that a salary of photographer in Brazil is between R$ 850 and 2,500 (um fotógrafo ganha entre R$ 850,00 e R$ 2.500,00), which is lower (300 to 800 USD). Will it be more reasonable to hire a professional photographer for these 10 months instead?

Firstly, nice too meet you, and thanks for the feedback, and for the compliment. I'll start by the end, as things will be more clear, okay?
In the article that you send, there is a lack of still life or product photographers, the two ones able to shoot this kind of objects. But I'll take "Photojournalism Editorial" (I know that product photographers are more expansive than that, but this is for illustration purpose), the less expensive of them, they charge using a daily rate, in the article 872,00 BRL per 5 hours, in 5 hours a professional will handle 20-40 pieces, being optimistic, ~27'4388 to ~13'856 USD. But I already made a research to know how much they would charge, the last expensive charged differently, 50 BRL per piece, around 32'000 USD... not delivering the same quality that I expecting here. That's one of the reasons why some museums not even start their digitalisation initiatives.
That research is quite weird, the national minimum wage is 937.00 BRL, however we are in São Paulo city, in the São Paulo state, for the state the minimum is 1000.00 BRL for manual labour [1]. And entering in the web site, the carrier map of "photographer" for them, start as a clerk, or telephonist... [2] we can't take this seriously.
Two websites gives a away different salary, both of them gives 7'000 BRL for established photographers in São Paulo city [3] [4], hi-end 10'000 BRL, 2'500 in the first carriers steps (that would not work for us, the wild variety of technical challenges, and consequently specific equipment required is not normal for beginners have).
And we are assuming here that a photo editor would not be necessary, I know that can not be true.
We already have a list of other museums and galleries, and USP have more than 60 museums, we don't know how much of them we will reach with this project, but as I wrote, the biggest one of Latin America (and USP consequently), Museu Paulista already will start a pilot providing 1000 photos of their digital collection. And this is just the "start". If we hired a photographer, we will spend away more, taking into account the life expectancy of the equipment, 10 times or more, . We are entering in our third museum in next coming weeks, and another parallel project that we are doing (in pt), a educational one, will let students work a little with other USP museums until we have hands to enter with a digitalisation project, as we have a limited work force at this moment.
So summing up: around 13'000 (your price range) - 30'000 USD to hire a photographer, even in the lower price range, it's more than half of the price of the equipments, and as we told, this is a project inside a programme, and this equipment will be use in more museums, and projects, in one or two projects the price of photographer will be higher than buying the equipment.
The idea is to let things as they are now me coordinating, photographing, editing...
"For that, I'll have to dedicated eight hours per day, for 10 months of photograph, we already have the know-how with the other GLAMs, and having a work-flow established for photos, in a smaller scale."
However I'm having prohibitive spendings, just to go to USP I expend 272.00 BRL per month, eating there is absurd even for SPaulo standards, at least 20 BRL per a meal (and you can see that walk out of it to eat is quite far [5] around 40 min walking, by bus the price difference not compensates), plus electricity bill that has increased after expending this many hours editing photos and videos for the Matemateca project.
I had some money saved that let me had the luxury of not working during the previous project, I'm not in the same scenario any more, and this project will book me as a full time job. This money will cover the expenses, and will allow my full dedication to this project. The amount is based in my daily expenses and in previous approved grant as this one, reminding that I'm accumulating functions, as I'll lead a 5 people team, plus I'll photograph, edit,...
About the equipment:
Small disclaimer, in this packages there are things that come for free, as the charger, if you take two Profoto B1 500 [6] it would cost 4'190.00, not 4'148.00 of the package. We had this free things in the previous equipment. All things that I'm listing will be heavily used, could you give a better example that a thing that "it likely has a lot of functions you will not need"? I didn't get.
The result will not be similar, this equipment is expansive for some reasons, but the major one is reliability. I will be dealing with thousands of pieces, a great part of it have their colours as one of most important features; one of the problems of cheaper equipments are the inconstancy of colours, and amount of light provided, this could give random results, impacting in educational valued and quality. As we will be investing a huge amount of effort, would be better to have a proper equipment.A small part of it, could be fixed in post, however the time spend in post will directly impact in the project, jeopardising the end result, we already had this experience in the Matemateca, the result was 2 months delay until now, and a reduction in quality. see more here.
And yes, ProPhoto B1 is wireless equipment, and more expansive than the equivalent AC-powered, but I already had problems with energy oscillation (that cost me a lamp), and lack of electricity in Matemateca project. Plus, as we are acquiring equipment for more than just one project, this should be varsity, some times we will work in the middle of museum, with visitants, employers, and other people crossing by, pass wires in the middle of museum sometimes would not be a option, we are starting the work with Museu Paulista, and maybe we could work if pieces like that [7], with acquire a AC powered one, very likely that we will have to buy one of this [8] in a near future, costing more 2'000 USD, and have more equipment to carry.
That said, if you think that would be better focus in the actual project, we can substitute for a 2*Profoto D2 500Ws [9]. I know that you have a limited budget to distribute, and this things could make a project pass or not, so let me know the best way to you.
Taxes:
35% is optimistic, in Brazil taxes for this equipments are around 100%! Yeap, 100%, however they enter in personal use equipment and can travel freely. We did that for the previous equipment, we ask for a Wikimedia volunteer (Michael Peel) that was coming to Brazil to bring it, and WMF bought it directly.
I was not selected to the Wikimania, but in the worst scenario, Sturm is going to Wikimania and could bring the equipment or I use my resources and go to WMF office and bring it, would be away cheaper. The only thing that could be difficult to bring is the C stands, however this we can find for similar price.
I'll request the link, I know that they are writing about the grant, I had to discuss with them to open this grant, I don't know if they published.
And we are using the camera for photographing museums, and still be use in other museums.

This because with the equipment that we have, plus the listed in the left, part of the collection can be done, however a big part of it could not with the available equipment, especially with the same quality, as small objects that require macro photography, or large ones that require panoramas. Plus, the Canon 80D is a enthusiastic camera, and we already achieve 1/4 of life expectancy, the 150'000 photos by the manufacture. We have the risk of not get to the end of the project with it. But it will continued be in use in other activities, I have a list of parallel projects that will required this equipment, including a possible formation of more photographers to open one more front. I'm not certain which activities will be promoted (that's why I didn't wrote about it), as after I finished the Matemateca project (the Museum of Game and Education is after), the camera will be curated by WCUBR, not by me. This was the grant agreement.

@R.T.Argenton: Thank you for your answers.
  • It is clear now that you will be the paid project organizer, probably this should have been mentioned somewhere in the request. I can hardly make a better estimate, thus let's assume this figure is reasonable. I would just note that people from the Whose Knowledge? proposal live in the US where cost of life is significantly higher, and 1000 USD is actually below minimal salary. This may not apply to your case.
  • Regarding equipment, I indeed have a concern that your equipment is rather expensive given we have a limited budget. It is good to know that some of this equipment can be replaced with less expensive equivalents, we'll see if this is really needed. If you want another example, I am not sure if Wacom Intuos Pro Creative Pen Tablet is really vital for your project.
  • Concerning your existing equipment, it is good you have a page describing it. It would be even greater if you would track images made with it, something like commons:Category:Content media by equipment supported by Wikimedia France. This would be especially important if it would be used beyond your current GLAM projects by other group members.
  • I am unsure one person will be able to carry all of this equipment. Given the expected volume and weight of the equipment, probably this equipment will make the entire luggage of this person. Nevertheless this sounds like the most reasonable approach.
  • The only question where I did not get an answer is about photo contests are in the annual grant of the WCUGBR: I could not find this grant, can you please give a link to it.

Hi, NickK. Thanks for paying attention to this grant request. I thought I would shed light to some of your concerns, as I am involved with this initiative. Firstly, the UGBR has applied for chapter recognition, and we are waiting for the answer from AffCom about this recognition in order to submit an annual grant request. This annual grant request is already drafted (offwiki) and indeed includes photo contests as an activity we'd like to pursue. I believe this is what Rodrigo is referring to. Secondly, two members of the UGBR were awarded support to attend Wikimania, and though there might be alternatives to waiting for Montreal these two members could definitely bring all the equipment if we were to buy it there. I agree with Rodrigo we should avoid buying equipment in Brazil, as this could lead to increasing from 50% to 200% the costs of the project. @Joalpe: I am a bit concerned that you are waiting for chapter status in order to apply for an annual grant. Chapter recognition process is rather slow and may be especially complex in Brazil where you have two active (somewhat competing) user groups. The sole main concern about submitting an annual grant request before chapter recognition, I believe, would be not having a formal organization to receive an eventual large fund total, since the alternative --to receive this fund as an individual-- could create some serious tax issues for the individual recipient. NickK let me do a different, I'll justify every single point of it, and them we can discuss, okay?

Equipment
Canon EOS 5DRS The highest resolution available in the market, the other most affordable 50 mpix camera would be Pentax 645z that cost 6,996.95 USD. This will guarantee a bigger longevity for the material produce, we already have 8K monitor resolution [10] (~36mpix), and in a near future 24 mpix pictures will be below expectations... this camera has also another features that's important to have, as dual card slot for redundancy, increasing the safety. Every combination of lens and body gives a true sharpness resolution, in the 80D body with the below macro lens provide only 13 mpix for being a APS-C camera and a 24 mpix camera [11] (they didn't test 80D actually, however 70D have similar results). That means that the file is good only in 3600 x 3600 pixels, not in full size, "less" than a 4K monitor.
Canon EF 100mm f/2.8L Macro IS USM I will work with a lot of tiny objects, this is the one that covers the size and necessity, and it's build to last.
Canon EF 70-200mm f/2.8L IS II USM Part of the objects would be medium size objects, this lens enters in this angle of view, this being a zoom lens would give a wide variety of possibilities, and with quality of the lens, this would extract the most of the camera.
Canon EF 24-70mm f/2.8L II USM same here for large objects. Reminding that I will have a limited space to work.
2x Impact C-Stand with Sliding Leg Kit the light equipment is quite expansive, we need to have a sturdy stand for safety reasons.

2 x Elinchrom 39" Rotalux Deep OctaBox This is a deep octabox, that means that the light will be beautifully distribute in it's frontal element, this also is in the limit size to our large objects, the ProPhoto "equivalent" cost 700 USD the unit [12], and do not perform quite as good.
2 x Elinchrom Rotalux Speed Ring Adapter for Profoto just the adapters, and even with the adapters, it's half of the price of the Profoto ones.
Manfrotto 057 Carbon Fiber Tripod with Rapid Column this is a tall tripod that could handle the camera with any lens, in Matemateca many times I had to made a top down photo, and I couldn't, the result was inconsistent, and I put my self in danger climbing and balancing in stairs to photograph.
Nodal Ninja M1S Pan Head with RD10 Advanced Rotator this would allow panoramic photography, that would be use for the biggest objects of the collection, this solve issues related to parallax when we are stitching.
Lenovo 15.6" ThinkPad P50 Mobile Workstation My personal computer is a 7 years desktop that already is showing difficulty to work with the 80D files, took a while to accomplish some tasks. And this type of photography, focus stacking, is almost mandatory a tethering, the iPad solution that I use in Matemateca at the end was not good enough, and I had to redo a lot of pieces, in the day after, as I could not properly register and check. Having a computer in locus gives more guarantee.
2 x WD 8TB My Book USB 3.0 External Hard Drive Storage and redundancy, for 75 pieces of Matemateca I produced over 500 GBs of files. With 2'000 pieces would be necessary more space, changing the camera also requires more space.
Wacom Intuos Pro Creative Pen Tablet In the past I used a lot pens in my workflow, recently I had to sell my personal, I'm fast with a mouse, but not as fast and precise as with a pen, giving the volume of pictures, speed and precision is important. This also could be used in other projects, including educational videos.
2 x SanDisk 64GB Extreme PRO SDXC UHS-I Memory Card Necessary cards, and redundancy.
Datacolor SpyderCHECKR Color Calibration Tool Giving the importance of colours in this project, it's necessary to be the most precise and accurate as possible, this tool is important to guarantee that all colours captured is the closest that the camera could register.
Tether Tools TetherPro USB 3.0 Male Type-A to USB 3.0 Cable to allow the tethering.
Canon LP-E6N Lithium-Ion Battery Pack To increase the number of clicks per shoot and redundancy
Insurance for camera and lens (around 10% of the value of the equipment) USP is not that safe, we took a risk in the Matemateca because we didn't had other options. It also limited the possible uses of camera in other projects, by the fear of being robbed, and could not replace the equipment.
Softwares (Adobe Lightroom + Photoshop) I'm using a old version of my signature that I interrupted when the Adobe increased almost 100% here in Brazil... so is not that "correct"...
Other costs (freight, taxes, vellum paper, perplexes...) In Matemateca WMF had to pay freight that was not predicted, so I'm including some fat, I also had to buy some objects to better photography.

The main point here is, in a short term seems to be expensive, however it will be used in a several projects so in a long term it will be valued price.

Category:Media generated by equipment provided via WMF grant to Brazil and I already point the logbook in the previous message, Wikimedia Community User Group Brasil equipments logbook or is preferable a specific page for it?

Tomorrow I'll check how much cost a no-break/surge protector here in Brazil capable to handle that much watts to see if compensates changing the system to wired one.

This more a trivia, about being away more expansive... not that much... even with the actual currency: San Diego Chicago Austin, respectively 32%, 31% and only 17% more expansive, this is not that significantly higher, in addition to that the difference between USD to BRL is decreasing [13].

Presentation by Rodrigo Argenton on educational photography and GLAM

I thought I would emphasize the educational component of the GLAM initiative that is being presented here. Normally, cultural institutions from the Global South, in particular Brazil, lack funding for outreach and dissemination. Through education programs we have been able to improve content on these cultural institutions. The proponent of this grant request has been actively involved in these programs, and the GLAM initiative with the Geosciences Museum at the University of São Paulo will be associated to outreach and education programs, especially improving content on museums from São Paulo. Because of the academic calendar, we had to start one of the education programs associated to this GLAM, and Rodrigo Argenton has voluntarily coordinated this work.

Additional comments from the Committee:
  • Very high value images and content for Wikimedia projects (specially for Commons).
  • Low potential for online impact: activities to include this content to Wikimedia projects are not planned yet, and are conditional to recognition of the user group as a chapter (which may not happen at all given that Brazil has two user groups).
  • It isn't an innovative project and the amount requested makes a potential risk to develop the project, because the equipment could be used by students, and there is no way (or the grantee give one) how the equipment will be used after the grant ends.
  • 20'000$ of equipment? Not sustainable for replication!
  • Large potential for impact as well as good measures. However this project does not look further out, doesn't take an approach on how theses images will be used in Wikipedia besides in pt.wiki.
  • Rather good iterative proposal, there were many successful digitalisation initiatives elsewhere.
  • The budget includes paid software: isn't clear the status of the licenses after the grant ends.
  • I don't like the idea to take 40'000 photos to have 2'000. Wikipedia needs good pictures but we forget that the photos are at the service of other projects.
  • I'm worried because user is blocked at br.wikimedia.org
  • The applicant will be definitely able to execute, but the budget seems way too high for me.
  • Low endorsement.
  • Community was not informed about project before it was requested. No significant discussion and considerable support.
  • Very low community engagement, not sure these materials will be used by anyone, be it in Brazil or abroad.
  • I would ask to check the "friendly space policy" because the potential grantee is well known by the grants committee to have caused several harassments for projects in Brasil (specifically for Wiki Loves Monuments or Wiki Loves Earth grants). I remember the high level of criticism.
  • Seems this project is useful for Wiki projects, but the budget is too high. We have to check the Wikimedia Community User Group Brasil equipment list. Looks like too much equipment for a single project.
  • Valuable graphic material is very much needed in our projects.
  • I'm worried because user is blocked at br.wikimedia.org and there is a problem with the purchase of large amounts of equipment. Budget is unclear and very big for this kind of project.
  • I can support it only with a significant budget reduction, probably to 10k USD or so. Current budget is more of a wish list and is too high for something that looks like a project of just two people.

R.T.Argenton, I'm glad you asked that--I meant to clarify this and forgot. You may recall that during our meeting I said that I was drawing questions from the committee's feedback about your proposal. This is the feedback I was drawing from, so they came before our meeting. Obviously, you answered many of these questions, in a very satisfactory way, during the interview.
