Video tutorial on how to submit media to Wikimedia Commons using VRT

This page describes a video tutorial, produced by the Wikimedia Foundation and VRT volunteers, on how to submit media to Wikimedia Commons using VRT.

Background

This video is the result of a pilot project within the framework of the Community Capacity Development program at the Wikimedia Foundation. It was led by Asaf Bartov, from the Community Development team, with the active involvement of an advisory committee made up of experienced VRT and Commons volunteers. The script development and video production were done by contractor Victor Grigas, and reviewed by the advisory committee.

The video is intended to be useful to VRT agents, Commons volunteers, and Wikipedia volunteers in various languages, for helping non-Wikimedians submit media via VRT. It is hoped that being able to refer people to the video, in whole or in part (to the introduction plus a specific scenario, perhaps), would save at least some of the very common back-and-forth correspondence many VRT agents have to conduct with non-Wikimedian contributors struggling to understand copyright and Commons norms.

The video is designed to be easy to translate and localize, with no speech, and a lot of intertitles, which should facilitate preparing localized versions of the video(s).

Correspondingly, Wikimedia Commons is a library of Creative Commons and other freely-licensed works like Photographs, Video, Audio, Texts, 3D, Animation and other media available for anyone to use for any purpose including on Wikimedia projects like Wikipedia. Wikimedia Commons hosts many Creative Commons licensed files. Like, millions and millions of files. If you are watching this video then you likely have media that you want to place on ‘Commons’ for use in Wikipedia or other projects.

The easiest way to get your files onto Wikimedia Commons is to register and log in to your Wikimedia account and follow the on-screen instructions for uploading your file.

...then you probably have media that you found somewhere on the internet or that someone else like a friend or an employer gave to you to upload to Wikimedia Commons. The volunteers who maintain Wikimedia Commons are strict about verifying that the uploaders of files actually have the rights to share the files that they do.

These volunteers who maintain ‘Commons’ need a text record of where media came from to verify that the copyright holder gave proper legal approval to license it for use on Wikimedia projects and anywhere else.

COMPUTER USER has a portrait photo taken by a PROFESSIONAL PHOTOGRAPHER.

INTERTITLE

You can contact VRT if you want to upload a picture of yourself that someone else created. You need permission from the photographer who created the picture or an invoice stating that you are the copyright holder of a work made for hire, because the copyright of a photo belongs to the person who created the picture, not the person in the photo. To share a picture of a person from an organization, Wikimedia Commons needs either permission from the photographer or a statement in writing from the organization that they acquired the copyright from the photographer.

To share family photos on Wikimedia Commons, you need permission from the photographer who created the image. Sometimes you are the photographer which means that you are the copyright holder and you can share the images. But sometimes family photos are under copyright owned by someone else and you need permission from the creator of the original photograph because that photographer is the copyright holder. If you can get permission from the copyright holder then you can contact VRT.

If you cannot obtain written permission to share such photos from the copyright holder or their heirs, then unfortunately you cannot share the image on Wikimedia Commons.

Sometimes family photographs are so old that they are in the public domain and are free from copyright. If your photo was created in the 19th century then it is in the public domain so you can share it without permission from anyone. If you regularly publish your work elsewhere and want to avoid the hassle of sending permission statements for every upload you make, you can contact VRT and issue a blanket release, clearly identifying what the blanket release covers (e.g. "all the media uploaded by this user account"), and the license chosen. If you are releasing on behalf of an institution or company, make sure you demonstrate that you have the authority to release the media, and use a formal email address belonging to your organization.

The copyright holder must choose a free license permitted on Wikimedia Commons, it’s not possible to restrict use of a file to Wikipedia or Wikimedia projects. Here are a few licenses that are often used on Wikimedia Commons:

In many scenarios when you contact VRT, you will need to give the volunteers there a specific permission statement which clearly defines: 1.) The works that are being released. 2.) The licensing of the works that are being released 3.) Proof that the person who is releasing the works is (or is acting on behalf of) the copyright holder. About your email address: Because permissions submitted to VRT must be verifiable, the message that you send should come from an email address that can be recognized as somehow associated with the content being released. For example: If you are releasing a work that is not available online, you may be asked to privately provide evidence of your identity to the VRT volunteer who processes your statement. You don’t need to contact VRT if you publish your media on any of the following: Blogspot, Flickr, YouTube, Wordpress or Vimeo. Each of those sites has ways of publishing under appropriate Creative Commons licenses that are compatible with Wikimedia Commons, as do many other sites. Assuming all rights are in order, your media can be published on any of those sites by specifying an appropriate free license (which is not the default), and then migrated to Wikimedia Commons legally, without involving VRT.

Asaf asked if everyone had read the script. No one said that they have failed to do so.

Victor introduced the meeting. He shared the news that while he previously was a WMF employee these days he is a video contractor working with the WMF. Victor shared that he felt that the VRT submission process could be developed for the benefit of both VRT agents and users who are submitting media. His idea was an VRT explanation video. Victor wrote the script based on the VRT documentation page on meta. Victor shared the script with interested VRT agents including those in this meeting. Various people have commented.

Tomasz said that he liked the script in general. He expressed a concern for the sake of users who wish to submit images for which they can determine the copyright holder. A common case is a family photo for which the photographer is unknown. In this case Commons has to refuse the upload. Tomasz regretted that in these circumstances the user leaves feeling a negative experience when he wishes there was a way to put a positive perspective on it. The goal in this case should be some kind of user satisfaction. Tomasz said that this kind of exchange is stressful for VRT agents.

Tomasz said that he felt it would be particularly useful to solicit comments from the Arabic language community. Asaf responded by saying that he would ask likely people from this community.

Lane said that the Wikimedia community has challenges with indecision and delay. This video should have been made 10 years ago. At this point publishing as quickly as possible with the resources we have at this point should be the goal. With the first call to comments we already have good representation from VRT agents from different backgrounds and language communities.

Victor commented to say that he has to balance the production schedule for the video with the need to get sufficient review of the script. He said that there will come a time when he has to freeze the script from revisions in order to produce a video. After that point it becomes difficult to accept more comments and do reviews, and instead, any feedback would have to go into some unplanned next generation video.

Tomasz asked who would appear in the video – whether paid actors or Wikimedia volunteers. Victor said that he thought that it would be easiest and use the least resources to get paid actors. Victor said that he lived in Boston which has a large international population. Victor stated an intention to seek to make the filmed actors appear as if they were from any country or no country in particular.

Victor raised the issue of intertitles. He said that intertitles – which are scene transitions using text – are easier for volunteers to translate than other video ideas. Victor advocated for using video titles to more easily adapt the video for various languages.

Someone asked about b-roll. Victor said that b-roll is stock footage which communicate a theme or feeling. For example, to communicate a mistake there might be a video of a boat sinking.

Lane asked about Victor's idea for translation. Victor explained that he intended to have no voice acting in the video and instead to only have voice over. Because of this, the entire video could be translated by anyone producing a voice over audio recording and changing the intertitles.

Victor commented on the schedule for the project. The plan is to confirm a script by the end of June 2018.

Wikimania 2018 is coming up. The possibility of an VRT meetup was raised. Krishna, Lane, Asaf, and Ciell said that they planned to attend and might be interested in meeting in person at Wikimania.
