Make a checklist for the location where the node event is happening. It should have adequate seating space, a relatively pleasant atmosphere with sound, temperature and air flow for the estimated number of participants, as well as facilities such as restrooms (with sanitizers and masks) and at least bike parking nearby. Stable internet connection is a must to facilitate participation in virtual sessions. Review the Friendly Space policy, and consider accessibility needs for attendees!

Event format is relatively free and flexible, the event must have at least some kind of program or schedule with activities that promote engagement and interaction among local attendees (ideally also connecting to online), focusing on topics relevant to the larger LGBTQ+ community (such as LGBTQ+ history, culture, activism, or social issues) and Wikimedia.

Promote the event through various channels, including social media, email lists, and LGBTQ+ organizations, with a focus on reaching a diverse range of participants who are welcoming and respectful towards the LGBTQ+ community.

Sync with us if you are hosting a node event during May 12, 14 or 17, we encourage you to join the conference's virtual rooms — even if only for a short time — to take advantage of additional learning and networking opportunities. Alternatively please encourage participants to register and attend online from home on at least one of the days for at least one of the sessions. If they can benefit from financial support for internet access, please try to provide these in advance.

Document your event: if at least some of the participants give their consent, take photos of them or make short video or audio recordings of the event so we can share it with others. Consider giving a 3–5 minute summary presentation as a part of the QW programme on May 17 about your local Node and related LGBTQ+ Wikimedia work — using Google Slides or PDF with a voiceover — or exceptionally you could record a video and send it to us by May 16.
